We're a specialty brokerage, which means we write the industries other brokers find difficult to place: pest and termite control, security guard and alarm companies, private investigators, environmental services, scaffolding, demolition, and contractors of most kinds. We're licensed in ten states, and many of our clients have been with us for decades. We're hiring an Administrative Assistant to run the day-to-day operations of our Concord office. This is an in-office role, Monday through Friday. A lot of the work is physical: mail and post office runs, printed mailers, supplies and equipment, compliance postings, and hands-on document work with our Chairman. It is not a hybrid or remote position. Let's start with the part most job ads bury: we pay 100% of the premium for your health and dental coverage. Not a percentage. You'll also earn paid time off, park for free, and work on the top floor of a Class A building directly across from Concord BART, with a café downstairs. For a role at this level that's an unusual package, and it's deliberate. We'd rather invest in good people than keep re-hiring. What you'll do Most of our team works remotely, so you're the person who holds the office together and keeps everyone supplied and informed. Cover the operator line. Our AI attendant routes most calls directly. You pick up the ones that need a human, and you're the first voice those clients, carriers, and vendors hear. Manage the claims inbox. Monitor incoming claims and handle the routine ones start to finish using our established process. Anything complicated goes to leadership, and we'll teach you where that line is. Handle mail and mailers. Daily distribution, post office runs, postage and stamp inventory, and our recurring client mailings. Work directly with our Chairman on administrative projects: drafting, formatting, and editing business documents and agreements in Word, with clean version control. Keep our records straight. Employee handbook, required workplace postings, the company holiday calendar, internal contact and phone directories. Order and coordinate. Office and print supplies, supplies for our remote employees, and equipment orders at the direction of leadership. Maintain our industry lists. We pull annual licensee lists from California state agencies and keep them accurate over time: deduplicating, correcting returned mail, and flagging current clients. Whatever else comes up. This is a new role in a growing office. Work will land on your desk that isn't on this list, and we'd rather say that now than surprise you in month two. What we're looking for 2+ years in an administrative assistant, office coordinator, office manager, or executive assistant role Strong Microsoft Word skills, including formatting, editing, and working across multiple versions of a document Comfortable in Outlook and Excel, and quick to pick up new business software Comfortable using AI tools (ChatGPT, Claude, Copilot, or similar) as part of your everyday work Clear, professional writing and phone manner A track record of accuracy with recurring deadlines and detail-heavy records Discretion with confidential client and personnel information Valid California driver's license and reliable transportation for local errands Nice to have, but not required: Experience in insurance, financial services, legal, or another professional services office Exposure to claims intake or an agency management system Interest in earning a California Property & Casualty license.
