We're looking for an organized, dependable Administrative Assistant to keep our office running smoothly and support our field teams as we grow. About the Role This is a hands-on role that touches nearly every part of the business, from billing and receivables to employee onboarding and apprentice tracking. You'll work closely with ownership and field staff, handle a variety of tasks on any given day, and take ownership of your work with minimal supervision. If you enjoy keeping things organized, like variety, and want to grow with a company, this could be a great fit. Responsibilities Prepare and send customer invoices, and manage accounts receivable, including tracking payments and following up on outstanding balances Handle data entry and employee time tracking with accuracy and attention to detail Assist with purchasing and supplier coordination Track apprentice hours and manage apprentice registrations Coordinate employee healthcare enrollment and related paperwork Proofread estimates, correspondence, and other company documents Work within our construction management software to support projects and records Make occasional travel arrangements for staff Take on new responsibilities as the company grows and needs change Qualifications Working knowledge of Excel and QuickBooks Strong written and verbal communication skills Excellent proofreading skills and attention to detail Able to multitask and prioritize in a fast-paced environment Able to work under pressure and meet deadlines Self-motivated and able to work independently Adaptable and comfortable with changing priorities Willing to learn basic electrical supplies and equipment (no prior knowledge required; we'll teach you) Helpful but not required: Experience with purchasing and/or billing Experience in construction, the trades, or a contractor's office Familiarity with construction software What We Offer [Health insurance / dental / vision] [Paid time off and (9) holidays] [Retirement plan] A supportive team and room to grow with a growing company
Pay:
$24.00 - $26.00 per hour Expected hours: 40.0 per week
