We are seeking a highly organized and proactive Administrative Assistant to join our team and support out daily operations Job Summary The Administrative Assistant will play a vital role in keeping our office and projects running smoothly. This position provides essential clerical and administrative support to our project managers, design team and leadership. The ideal candidate is a detail-oriented, tech-savvy and positive self-starter who thrives in a fast-paced environment.
Responsibilities Administrative support:
Manage day-to-day office functions, including answering phones, handling correspondence and maintaining office and project files.
Project Documentation:
Assist with preparing and organizing project documents such as contracts, change orders, purchase orders, permits and submittals.
Communication Hub:
Serve as a primary point of contact for clients, vendors, subcontractors, and staff, ensuring timely and professional communication.
Scheduling and Coordination:
Assist in scheduling meetings, coordinating project milestones and maintaining project calendars.
Record Keeping:
Maintain and update electronic and physical filing systems to ensure accurate and accessible records.
General Support:
Be flexible and assist with a variety of ad-hoc tasks and special projects to contribute to the overall functionality of the team. Skills and Qualifications Proven administrative support experience, preferably within the construction or related industry. Exceptional organizational skills and meticulous attention to detail. Proficiency with Microsoft Office Suite (Word, Excel, Outlook). Experience with construction or project management software is a plus. Excellent written and verbal communication skills, with a professional demeanor. Strong problem-solving abilities and a proactive resourceful attitude. Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines. A positive, collaborative attitude and a desire to work in a dynamic team environment. Education and Experience High school diploma or equivalent is required. A college degree or relevant administrative certification is preferred. Experience in the home improvement, construction, or design industry is preferred. Compensation This is a performance-based position with opportunities for bonuses tied to efficiency, accuracy, and overall contribution to company goals. Base pay will be competitive, with additional earnings potential based on performance.
