Job Description
Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, streamline administrative processes, and enhance overall office efficiency. The ideal candidate will bring enthusiasm, strong organizational skills, and a proactive attitude to help create a welcoming and productive environment. Responsibilities Operate multi-line phone systems, handle incoming calls, direct inquiries, and take detailed messages Maintain accurate data entry using tools like Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record keeping Support office management tasks such as filing, proofreading documents, and organizing files for easy retrieval Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client needs Perform clerical duties including typing correspondence, managing mail distribution, and maintaining office supplies Qualifications Proven experience in an office environment with strong clerical skills and familiarity with office management procedures Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Strong computer literacy, including data entry, proofreading, and basic bookkeeping using QuickBooks or similar software Exceptional phone etiquette skills with experience handling multi-line phone systems and providing customer support Bilingual abilities are highly desirable to serve diverse client needs effectively Previous experience as a receptionist or personal assistant is preferred; experience in Real Estate is best.
