Job Summary We are seeking a motivated and detail-oriented Administrative Assistant to join our team. This hybrid position offers the flexibility of working both remotely and on-site. The ideal candidate is an organized, proactive individual with experience in administrative roles. As an Administrative Assistant, you will oversee and support the management of the foundation's educational programs and outreach initiatives — planning and coordinating outreach events, managing communication across multiple programs, organizing files and payment records, scheduling meetings and appointments, and assisting with concert production among other administrative tasks and responsibilities. Key Responsibilities Outreach Program Support Assist in coordinating and attending outreach activities and initiatives Maintain communication with community partners and participants Provide planning, communication, and preparation support for the Outreach Program Event Planning Assist in the planning and execution of events, including concerts, workshops, and fundraisers Coordinate logistics such as venue booking, catering, and transportation Prepare event materials and manage event timelines Support concert production for the Link Up Program Program Management Provide administrative support for various foundation programs Schedule meetings, prepare agendas, and record minutes Maintain program documentation and databases Provide communication and billing support for the programs Assist with site visits and performances Team Management and Collaboration Coordinate meetings and schedule appointments for team members Facilitate communication between different departments Manage shared documents and files for collaborative projects Assist in organizing team-building activities and events Serve as a point of contact for external partners and collaborators Help establish and maintain efficient communication channels within the organization Assist in reviewing resumes, applications, and support materials from applicants Attend administrative meetings and stakeholder events when assigned Provide development support to the Executive Director General Administrative Duties Answer phone calls, manage emails, and handle correspondence Maintain office supplies and equipment Assist with other administrative tasks as needed Qualifications Proven experience as an Administrative Assistant or in a relevant administrative role Excellent organizational and multitasking abilities Strong written and verbal communication skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) Proficiency in Google Workspace Experience with Stripe or a similar payment platform Fluency in Spanish is a plus Ability to work independently and as part of a team Detail-oriented with a proactive approach to problem-solving Requirements 2-3 years minimum administrative experience Ability to commute across Broward and Palm Beach Counties Valid Driver's License Microsoft Office (Word, Excel, PowerPoint) Google Workspace Stripe or similar payment platform Successful completion of a background check This position offers the opportunity to work in a dynamic environment supporting a mission-driven nonprofit.
