DOE Responsibilities:
What You'll Do Be the first point of contact. Answer phones, greet clients, and manage initial inquiries — screening potential new clients, gathering their information, and making a great first impression. Own the intake process. Track and follow up with leads, schedule consultations, send engagement agreements, and get new clients set up and onboarded smoothly. Keep clients moving. Follow up on payments, maintain accurate client lists and reporting, and keep communication consistent and professional. Maintain the office. Manage the firm calendar and vendor relationships, manage office supplies, and keep our workspace — kitchen, conference room, waiting area, and files — organized, stocked, and welcoming. Manage documents and mail. Process incoming mail, handle physical and electronic filing, scan and organize documents, and keep records accurate and up to date. Support the team. Help with hiring and onboarding logistics and pitch in wherever the firm needs an extra set of capable hands.
Qualifications:
Skills & Experience Prior administrative, front-desk, or office-management experience preferred; legal or intake experience a strong plus. Comfortable managing a multi-line phone and juggling competing priorities. Strong organizational skills and meticulous attention to detail. Proficient with standard office software; experience with Smokeball or similar legal case-management/CRM tools a strong plus.
