Full-Time | Hybrid (3 Days Onsite / 2 Days Remote)

$55,000-$75,000

2+ Years in Administrative or Executive Support About the Opportunity Our client is seeking a highly organized and professional Administrative Assistant to the CEO to support a fast-paced executive office. This is a high-visibility role where you'll serve as a trusted partner to the CEO, ensuring schedules stay organized, communications are handled professionally, and daily operations run seamlessly. You'll regularly interact with executives, clients, board members, and external partners, making exceptional communication, discretion, and attention to detail essential for success. What You'll Do Executive Support
  • Manage the CEO's calendar, meetings, and daily priorities with exceptional organization and attention to detail
  • Coordinate meetings with internal teams, clients, executives, and external partners
  • Prepare agendas, briefing materials, and background information to ensure the CEO is fully prepared for each meeting
  • Prioritize competing requests while protecting the CEO's time and focus Communications
  • Manage the CEO's inbox and incoming correspondence
  • Draft, edit, and proofread professional emails, letters, memos, and executive communications
  • Serve as a primary point of contact for the CEO's office, providing timely and professional communication with internal and external stakeholders
  • Ensure important information is communicated accurately and efficiently Travel & Meeting Coordination
  • Coordinate domestic and international travel, including flights, hotels, transportation, and detailed itineraries
  • Prepare expense reports and manage travel logistics
  • Organize executive meetings, board meetings, off-site events, and company functions
  • Take meeting notes, distribute action items, and track follow-up tasks Office Administration & Special Projects
  • Maintain confidential files, contracts, and executive records
  • Manage office supplies, vendor relationships, and general administrative operations
  • Support executive onboarding and special projects as assigned
  • Conduct research and assist with executive-level projects and reporting
  • Provide additional administrative support to members of the executive leadership team as needed What You'll Bring
  • 2+ years of administrative or executive support experience
  • Outstanding written and verbal communication skills
  • Exceptional organizational skills with strong attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Professional judgment and the ability to handle confidential information with discretion
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and/or Google Workspace
  • Proactive, solutions-oriented mindset with the ability to anticipate executive needs Preferred Qualifications
  • Experience supporting a CEO or other C-suite executive
  • Experience with project management platforms such as Zoho, Asana, Notion, or Monday.com
  • Associate's or Bachelor's degree in Business Administration, Communications, or a related field Compensation & Benefits
