Job Summary We are seeking a dynamic and highly organized Administrative Assistant/Sales Representative to join our team. Duties Provide comprehensive front desk support, greeting visitors and managing multi-line phone systems with professionalism and courtesy Handle all incoming calls, directing inquiries appropriately and maintaining excellent phone etiquette Manage office operations including filing, data entry, bookkeeping using QuickBooks, and maintaining organized records Assist with calendar management and scheduling appointments for team members or clients Support sales efforts by communicating with clients, preparing proposals, and following up on leads to drive business growth Maintain confidentiality of sensitive information while handling administrative tasks and client data Perform clerical duties such as proofreading documents, managing office supplies, and supporting general office management tasks Utilize Microsoft Office tools for document creation, spreadsheets, and presentations to support daily operations Qualifications Proven experience in an administrative or clerical role with strong office management skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and computer literacy skills Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Strong customer service orientation with exceptional phone communication and etiquette skills Bilingual abilities are preferred to serve a diverse clientele effectively Demonstrated ability to handle confidential information discreetly and professionally Previous experience in personal assistance or office support roles is advantageous Familiarity with multi-line phone systems, data entry, proofreading, filing, and calendar management Join us in this energetic role where your organizational talents and customer-focused approach will make a meaningful impact!
