Job Description
About Infinity Care Infinity Care, LLC is a Virginia-licensed provider supporting individuals with intellectual and developmental disabilities through Medicaid DD Waiver services. We are seeking a highly organized, dependable Administrative & Compliance Assistant to support the day-to-day administrative and quality-assurance functions of our agency. This is not a management or business-development position . The ideal candidate is someone who enjoys organization, checklists, auditing records, maintaining trackers, following up on missing information, and making sure administrative tasks are completed accurately and on time. Position Summary The Administrative & Compliance Assistant will work directly with the Executive Director to maintain organized client and employee records, monitor documentation and compliance requirements, assist with employee onboarding, and identify outstanding administrative items requiring follow-up. This position requires excellent attention to detail, discretion, consistency, and the ability to work independently from established procedures and checklists. Primary Responsibilities Review Therap regularly for missing, late, or incomplete DSP documentation. Maintain documentation tracking reports and follow up with DSPs regarding routine missing documentation. Review Connecteam records for attendance, clock-in/clock-out, GPS, scheduling, and other routine discrepancies. Maintain employee compliance and credential trackers, including CPR/First Aid, TB screening, required training, driver's license/insurance, and other personnel requirements. Organize and maintain electronic employee personnel files. Assist with new employee onboarding, including collecting required documents, preparing onboarding materials, and tracking completion of required training. Maintain client compliance trackers for ISPs, quarterly reviews, annual requirements, authorizations, and other recurring deadlines. Identify upcoming or overdue requirements and provide the Executive Director with organized follow-up lists. Maintain current employee, DSP, and client rosters. Upload, organize, and appropriately file documents in approved company systems. Assist with scheduling meetings, employee onboarding appointments, and other administrative activities. Conduct routine internal file audits using established checklists. Prepare weekly summaries of missing documentation, upcoming expirations, outstanding items, and matters requiring Executive Director attention. Assist with other administrative and compliance-related duties as assigned. What This Position Does NOT Include This position does not have independent responsibility for business development, client solicitation, referral-source development, Medicaid billing, payroll, employee termination, contracts, or final regulatory/compliance decisions. Communication with external referral sources, including Support Coordinators and Community Services Boards, is handled by or requires authorization from the Executive Director.
Qualifications Required:
High school diploma or equivalent. Strong administrative and organizational skills. Excellent attention to detail and follow-through. Comfortable working with spreadsheets, electronic records, email, and web-based systems. Strong written communication skills. Ability to manage recurring deadlines and multiple administrative tasks. Ability to maintain strict confidentiality regarding client, employee, and company information. Ability to work independently after receiving clear instructions and established procedures. Reliable internet access and ability to perform remote administrative work.Preferred:
Previous administrative experience with a Medicaid provider, home healthcare agency, behavioral health organization, ID/DD provider, or similar healthcare organization. Familiarity with Virginia DBHDS or Medicaid DD Waiver services. Experience with Therap. Experience with Connecteam or another employee scheduling/timekeeping platform. Experience maintaining personnel or compliance files. Familiarity with HIPAA and protected health information. Experience with employee onboarding, credential tracking, documentation audits, or quality assurance. Ideal Candidate We are particularly interested in someone who is detail-oriented and task-driven . You should genuinely enjoy finding missing information, maintaining accurate records, updating spreadsheets and trackers, completing checklists, and following tasks through to completion. This position may be a particularly good fit for someone with previous experience as a healthcare administrative assistant, ID/DD administrative assistant, compliance assistant, program assistant, medical office assistant, or experienced DSP who has transitioned into administrative work. Schedule This position will initially average approximately 10-15 hours per week . The majority of administrative duties may be performed remotely. Occasional in-person attendance at the Infinity Care office or other approved locations may be required for onboarding, file organization, audits, or other administrative needs. Hours may increase in the future based on company needs and demonstrated performance; however, additional hours are not guaranteed.Pay:
$18.00 - $22.00 per hour Expected hours: 15.0 - 20.0 per weekBenefits:
