Program Summary:
Conservation Corps New Mexico (CCNM) is based in Las Cruces, NM and operates conservation service programs across southern New Mexico that empower individuals to positively impact their lives, their communities and the environment. CCNM, a program of Conservation Legacy, aims to continue the legacy of the Civilian Conservation Corps of the 1930s. CCNM is focused on connecting youth, young adults and recent era military veterans with conservation service work projects on public lands.
Position Summary:
The Administrative Specialist's primary role is to help ensure effective day-to-day operations at Conservation Corps New Mexico. This role may require, but is not limited to, performing general administrative tasks, responding to phone calls and emails, managing office equipment and supplies, creating reports and memos, organizing events, submitting written funding proposals, and supporting member and staff recruitment, selections, onboarding, and training. This role requires individuals who possess distinct skills in communication, organization, and problem- solving, have a desire to support others in reaching their goals, and are able to work as a member of a team and independently.
Outcomes & Functions of Position:
Finance :
Assist with the management of petty cash, which includes obtaining proper approvals, ensuring Conservation Legacy Business Manual procedures are followed, and work with CL Support Staff to reconcile expenses. Responsible for the administration and training of WEX Cards to staff and crew leaders Responsible for the administration and training of staff and crew leaders on visa reconciliation. Track lost and non-itemized receipts including payroll deductions. Assist staff with monthly visa reconciliations. Maintain inventory of active and canceled credit cards. Responsible for obtaining invoicing approvals and submitting to central staff for processing
Administration:
Assist with onboarding and exiting processes for seasonal staff and members. Maintain appropriate documentation to meet compliance requirements for funders, project partners, and internal policies. Continue education and awareness of internal and external policies and rulings impacting internal processes, including state and federal compensation laws. Process and track workers' compensation claims. Train participants in workers compensation claims process Credit card reconciliation, database upkeep, and other administrative processes. Assist with social media posts and responses as needed.
General Office:
Support technology needs of the office, including ordering equipment, managing security accounts and systems, and supporting tech set-up. Lead office supply ordering and manage inventory. Respond to internal and external questions along with communication requests. Train members and staff how to use office technology and Conservation Legacy systems and processes. Greet and assist members and visitors. Advocate on behalf of CCNM staff and participants regarding the creation of policies, protocols, and expectations. Support field staff with administrative and database questions and concerns. Organizational Advocacy Successfully engage, lead, and support an inclusive work environment for those of underrepresented populations within the organization and the communities we serve. Lead and/or participate in organizational-wide teams, projects and initiatives that support the work of the Strategic Plans goals. Report any potential complaints within the organization as identified in the Personnel Policy Manual. Assist or lead other responsibilities, as assigned.

Qualifications:
Associate degree or two years of related experience. Ability to operate Microsoft Office programs and applications, or similar platforms. Ability to keep others and oneself, in remote locations, accountable to expectations. Valid Driver's License and Insurable Driving Record per Personnel Policies. Must be able to pass the organization's criminal history check requirements. Exhibits the ability to effectively collaborate with diverse teams or with a variety of populations, including those underrepresented at our organization and those of BIPOC communities. Pay:
$19.52 - $20.10 per hour
