Job Description

Job Overview We are seeking a highly organized and proactive Co Secretary to join our dynamic team. In this vital role, you will support the governance and administrative functions of the organization, ensuring smooth operations and effective communication across all levels. Your energetic approach and attention to detail will help uphold compliance, facilitate meetings, and manage essential documentation. Responsibilities Assist in preparing agendas, minutes, and reports for board meetings and other corporate gatherings Manage and maintain accurate records of company resolutions, statutory filings, and governance documents Coordinate scheduling of meetings, appointments, and events using calendar management tools Handle correspondence with stakeholders, clients, and internal teams via phone, email, and other communication channels Support office management tasks including filing, data entry, and document proofreading to ensure accuracy and confidentiality Oversee the organization of physical and digital files using proper filing systems and document management software Utilize office software such as Microsoft Office, Google Workspace, and QuickBooks for daily administrative functions Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment Demonstrated experience with office management, clerical duties, bookkeeping, and data entry Exceptional communication skills both in person and via multi-line phone systems; bilingual abilities are a plus Proven ability to handle confidential information with discretion and professionalism Experience with calendar management, scheduling meetings, and personal assistant responsibilities Familiarity with office equipment such as multi-line phones, printers, scanners, and fax machines Customer service-oriented mindset with strong phone etiquette skills Ability to proofread documents accurately while maintaining high attention to detail Effective time management skills to meet deadlines consistently This role is perfect for a motivated individual eager to develop their career in corporate governance or administrative support.
