Now Hiring:
Office Assistant / Executive Assistant We are looking for a highly organized, motivated, and detail-oriented Office Assistant to join our growing construction team. This role is ideal for someone who enjoys keeping an office running efficiently, managing multiple priorities, and providing administrative support in a fast-paced environment. Primary Responsibilities Process Certified Payroll Reports (CPRs) Prepare lien waivers and subcontractor lien releases Organize and maintain billing records and office files Assist with insurance, union, and company audits Track vehicle registrations and DOT documentation Monitor project payment schedules and maintain billing records Process incoming and outgoing mail Maintain accurate filing systems for completed projects Maintain daily office tasks Accounting & Administrative Duties Experience with QuickBooks (or willingness to learn) Track monthly expenses and reporting Maintain organized financial documentation Construction Administration Prepare and submit monthly union reports Order bid bonds and project drawings Assist with bid preparation Coordinate project documentation with management Track project payments and outstanding invoices Qualifications Strong organizational and time management skills Excellent communication skills Ability to multitask and prioritize deadlines Proficient with Microsoft Office (Word, Excel, Outlook) QuickBooks experience preferred Construction office experience is a plus Notary Public certification (or willingness to become one) preferred High attention to detail and confidentiality Office Setup & Responsibilities The successful candidate will help maintain an organized and efficient office environment, including: Managing office equipment and supplies Maintaining filing systems Organizing workspaces Supporting daily office operations What We're Looking For Self-motivated and dependable Ability to work independently Professional and positive attitude Strong problem-solving skills Team player with the ability to work independently Willingness to learn new systems and processes Pay and hours based on experience and qualifications If you're looking for a long-term opportunity with a growing company where your organizational skills can make a real impact, we'd love to hear from you.
