Job Description

Join Our Mission to Enhance the Lives of Aging Adults and Their Families! At Home Instead, we're seeking a dedicated and professional Office Assistant to support the daily operations of our office. This role serves as the first point of contact for visitors and callers, ensuring a warm and welcoming experience. Responsibilities include assisting with Care Pro hiring and onboarding processes, maintaining accurate employee records, managing client and office communications, and supporting administrative and operational tasks to ensure efficient office functionality. The ideal candidate demonstrates excellent communication skills, strong organizational abilities, and a commitment to delivering exceptional service to both staff and clients.
What You'll Do:
Greet and welcome each visitor in a friendly, warm and professional manner and promptly notify the appropriate staff member of their arrival. Answer all incoming calls in a friendly, knowledgeable, and professional manner and route calls to the appropriate staff member. Handle new client inquiries over the phone in a knowledgeable and compassionate manner; schedule care consultations as needed. Assist the Hiring Manager with the recruitment and onboarding process for new Care Pros. Responsibilities may include fielding employment inquiries, maintaining employee files, completing employment verification, and other related tasks. Assist with conducting timely reference checks for prospective Care Pros. Accurately enter and maintain Care Pro records in the operating system. Enter client receivables in Wellsky. Sensi

Organize and distribute daily mail. Order and maintain office supplies, including postage. Maintain a clean and orderly office space. Communicate openly and effectively with the owner, team members, and Care Pros. Ensure Home Instead standards are met and upheld. Maintain consistent in-office attendance to perform job duties effectively. Perform other duties as assigned to support the overall operations of the office. Education/Experience Requirements High school diploma or equivalent required. Minimum of one year of related business or administrative experience preferred; a combination of education and relevant work experience may be considered in lieu of direct experience. Must possess a valid driver's license.
