Administrative Assistant Position Summary Metro Home Buyers is seeking a dependable, detail-oriented Administrative Assistant to provide administrative and operational support across property management, acquisitions, projects, investor relations, and general business operations. This position helps keep information current, coordinates appointments and property-related activities, organizes documents, tracks deadlines, and ensures that leads, maintenance requests, invoices, inspections, and other business matters receive timely follow-up.

Monday through Friday, 9:00 a.m.-1:00 p.m.
Hours:
Approximately 20 hours per week Work arrangement: Primarily remote, with required weekly in-office meetings and local errands

Approved business mileage reimbursed Posting date: October 12 Ideal start date: November 30 Essential Responsibilities Respond to calls and messages from current and prospective tenants. Coordinate and assist with property showings. Schedule and support Section 8 inspections and related follow-up. Receive, document, and route incoming maintenance requests. Communicate with contractors, vendors, Home Depot, and other business partners. Manage calendars, meetings, reminders, and recurring administrative workflows. Monitor assigned communications and ensure timely follow-up. Enter and maintain seller, tenant, investor, project, contractor, and vendor records in the company's CRM and document-management systems. Prepare routine correspondence, meeting agendas, notes, task lists, and status reports. Track contracts, deadlines, inspections, closings, invoices, receipts, warranties, and required documents. Coordinate appointments and logistics with sellers, tenants, investors, contractors, vendors, and internal team members. Support website inquiries, marketing administration, content scheduling, and lead routing. Organize digital and physical files according to established naming, access, retention, and approval standards. Identify missing, overdue, or inconsistent information and escalate concerns promptly. Run company errands and make authorized business payments according to established procedures. Maintain confidentiality when handling tenant, financial, property, investor, and company information. Perform other administrative and operational duties as assigned. Qualifications Two or more years of administrative, real estate, property-management, project, or office-support experience preferred. Strong organizational, written communication, data-entry, and follow-through skills. Proficiency with cloud-based documents, spreadsheets, email, calendars, and CRM systems. Ability to manage recurring details and changing priorities in a fast-paced environment. Ability to work independently while maintaining regular communication with the team. Ability to attend weekly in-office meetings and complete local company errands. Reliable transportation, a valid driver's license, and appropriate automobile insurance. Professional communication skills when working with tenants, prospective tenants, contractors, vendors, investors, and team members. Bilingual proficiency in English and Spanish preferred. Experience with real estate transactions, rental properties, Section 8 inspections, bookkeeping support, or construction administration is helpful. A real estate license is not required. Success Measures Success in this position will be measured by maintaining complete, accurate, current, and well-organized records; responding promptly to assigned communications; and consistently tracking tasks, maintenance requests, inspections, appointments, and deadlines. The Administrative Assistant is expected to coordinate property-related activities effectively, follow established procedures and checklists, minimize errors in data entry, documents, payments, and scheduling, and promptly escalate missing or overdue information. The employee must also handle tenant, property, financial, investor, and company information with appropriate confidentiality and discretion.
