Job Description
Job Overview We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative and operational support to our executive team. This role is vital in ensuring smooth daily operations, managing schedules, coordinating projects, and handling a variety of clerical tasks with professionalism and efficiency. The ideal candidate will be proactive, detail-oriented, and possess exceptional communication skills to thrive in a fast-paced environment. Duties Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision. Coordinate and plan events, meetings, and travel arrangements to ensure seamless execution of all activities. Handle phone etiquette professionally across multi-line phone systems, screening calls and directing inquiries appropriately. Perform data entry, bookkeeping using QuickBooks, and maintain accurate records through filing, document proofreading, and transcription tasks. Provide executive administrative support including drafting correspondence, preparing reports, proofreading documents, and managing office supplies. Oversee office management duties such as front desk reception, managing office supplies inventory, and organizing files for easy access. Conduct project coordination by tracking deadlines, preparing agendas, taking meeting minutes, and following up on action items. Utilize office software like Microsoft Office Suite and Google Workspace efficiently to produce professional documents and presentations. Qualifications Proven experience as a Personal Assistant or in an administrative support role with strong office management skills. Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace tools, and data entry systems. Experience with QuickBooks for bookkeeping and basic financial recordkeeping is highly desirable. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Strong typing skills coupled with transcription and proofreading abilities to ensure accuracy in all documents. Exceptional communication skills including phone etiquette and customer service experience for front desk responsibilities. Familiarity with project coordination tools and techniques to manage multiple priorities efficiently. Knowledge of office equipment such as multi-line phone systems and office management software like DocuSign for electronic signatures.
