Personal Assistant (CEO Support)
Employment Type:
Part Time Work Hours:
Monday through Friday (15-25 hours per week. Hours are negotiable based on availability and needs, with flexibility. Mostly afternoons.)
In Office Hours:
This position will be remote 4 days per week with 1 day in the office to do errands as needed.

Camarillo, California (Must be local/semi-local) About the Role We are seeking a highly organized, proactive, and resourceful Personal Assistant to support the CEO with personal assistance and need for his day-to-day logistics, scheduling, and coordination outside of core business operations. This role works alongside the CEO's team and Executive Assistant and is focused primarily on managing personal logistics and real-world coordination that enable the CEO to stay focused on high-value priorities. In addition, this role supports light office operations to ensure the workspace remains organized and functional. This position is ideal for someone who thrives in a fast-paced environment, anticipates needs before they arise, and takes full ownership of responsibilities with minimal oversight. The role requires sound judgment, discretion, and the ability to seamlessly manage both structured tasks and last-minute requests. About Venue Coalition Venue Coalition is a booking representation and advocacy group representing more than 150 arenas, theaters, and stadiums across North America. We support our venues through event booking, talent buying, and industry intelligence. With a team of 14, we are a highly respected and successful company within the live entertainment industry, based in Camarillo, CA. Key Responsibilities Personal Assistant (Primary Focus) Manage day-to-day logistics, scheduling, and coordination outside of core business operations Coordinate appointments, reservations, and personal travel, including detailed itineraries Handle time-sensitive requests, errands, and logistics with efficiency and urgency Serve as a point of contact for personal/household vendors and service providers Coordinate and oversee personal projects or appointments, occasionally acting on behalf of the CEO when needed Support planning and execution of personal events, meetings, and special projects Anticipate needs and proactively solve problems before they arise Handle sensitive and confidential matters with a high level of discretion Office Administrator Responsibilities (Secondary Focus) Maintain organization and functionality of the office environment Manage office supplies, deliveries, and vendor coordination (e.g., building management, IT, maintenance) Handle incoming mail, deposits, and basic administrative tasks Support occasional team needs such as meals, supplies, and special requests Perform light office upkeep (e.g., watering plants, maintaining common areas, coordinating cleaning as needed) Answer phones (as needed) Purchase and send gifts to staff and clients for special occasions (as needed) What Success Looks Like The CEO's day-to-day logistics run smoothly and efficiently with minimal oversight Tasks and requests are completed proactively without the need for follow-up Scheduling, coordination, and errands are handled with precision and attention to detail The CEO is able to remain focused on high-priority work without distraction The office environment remains organized, stocked, and running smoothly You become a trusted, reliable extension of the CEO for both planning and execution Qualifications 2+ years in a personal assistant, or similar high-level support role Exceptional organizational skills and attention to detail Strong written, verbal, and dictation skills High level of professionalism, discretion, and judgment Ability to multitask and reprioritize in a fast-paced environment Proactive, solution-oriented mindset with strong initiative Comfortable delegating and managing tasks across a team Tech-savvy and quick to learn new systems and tools Ability to ask intuitive questions and use resources to find answers and learn, as needed Ability to retain information and directions given Bachelor's degree preferred Additional Requirements Must have reliable transportation for office presence and errands, including the ability to drive a Truck or Large SUV if needed Willingness to work flexible hours as needed Ability to handle both strategic and highly tactical tasks seamlessly Ability to handle some light technical requests Long-term mindset: This role is best suited for someone looking to stay in this role long-term Excellent written and oral communication skills including an exceptional telephone demeanor and recall skills Ability to work effectively and stay organized under pressure of deadlines Must be polite, patient, and professional, maintaining a professional appearance Must be good with adults, dogs/pets, and children Must be able to lift 40+ pounds on occasion Background check and signed NDA required Who You Are Extremely detail-oriented and organized Calm under pressure and thrives in high-demand environments Anticipates needs before being asked Takes pride in being dependable, responsive, and thorough Enjoys supporting others and enabling success behind the scenes while being in a very impactful role Adaptable to evolving schedules and tasks This is a unique opportunity to step into a high-impact, high-trust role at the center of a fast-moving and well-established company in the live events industry.
