Note:
Need to be on site at least 4 days for the first week because it will be training and orientation, meeting the team for the first time. Job Summary Seeking an experienced Project Coordinator to support Program Managers in the execution of manufacturing and infrastructure projects. This role focuses on project coordination, sales order management, financial tracking, reporting, documentation, ERP/CRM systems, and project lifecycle management. The ideal candidate has experience in project, manufacturing, or construction environments and is highly proficient with Microsoft Office and project management tools. Key Responsibilities Support Program Managers with sales order management and issue resolution. Assist with Smartsheet administration, configuration, and maintenance. Set up and maintain Procore or other designated project management systems. Analyze project and manufacturing data to ensure system accuracy and production progress. Prepare, update, and communicate project reports, including financial KPIs. Record and monitor project/site change orders and ensure timely communication and follow-up. Manage manufacturing progress tracking to support accurate invoicing and revenue recognition. Coordinate communication between project teams, executives, and customers regarding project status and variances. Support the development and standardization of project lifecycle processes. Maintain project documentation, records, and procedures within designated project management systems. Ensure project documentation meets quality standards and identify gaps where improvements are needed. Maintain and communicate holiday/resource trackers for project teams and stakeholders. Monitor workflow processes and ensure documentation is routed correctly between departments. Coordinate project finance meetings and ensure stakeholder attendance. Track project costs, budgets, revenue, and financial forecasts. Identify and resolve sales order accounting issues. Required Skills & Qualifications Minimum 5 years of experience in project management, manufacturing, construction, or project coordination. Strong experience with ERP and/or CRM systems. Advanced proficiency in Microsoft Excel, Word, PowerPoint, Outlook, and SharePoint. Experience with Procore or similar project management software. Strong analytical, organizational, and problem-solving skills. Ability to prioritize multiple projects and coordinate cross-functional teams. Excellent communication and customer service skills. Knowledge of Smartsheet and Power BI is preferred. Education Bachelor's degree in Business, Finance, Project Management, or a related field.
