  • Psychiatric Rehabilitation Program (PRP)Job Overview Jump Into Action Health and Wellness LLC is seeking an organized, dependable, and detail-oriented Program Administrator to support the administrative operations of our Psychiatric Rehabilitation Program (PRP) serving adults, children, and adolescents.
The Program Administrator will work closely with the CEO and program staff to support efficient day-to-day operations, maintain organized personnel and administrative records, track staff compliance requirements, coordinate onboarding and training documentation, and assist with maintaining program readiness. The ideal candidate is highly organized, comfortable managing confidential information, able to work independently, and experienced in behavioral health, healthcare, human services, or a related administrative environment. Responsibilities Support the day-to-day administrative operations of the Psychiatric Rehabilitation Program. Maintain organized and confidential employee and independent contractor personnel files. Ensure required personnel documentation is collected, completed, filed, and maintained appropriately. Track staff credentials, licenses, certifications, background checks, CPR/First Aid certifications, and other required documentation. Monitor expiration and renewal dates for required employee and contractor documentation. Coordinate and maintain documentation related to new-hire and contractor orientation and onboarding. Maintain staff training records and monitor completion of required initial and ongoing trainings. Assist with scheduling and tracking employee and contractor performance evaluations and other required personnel reviews. Maintain administrative logs, spreadsheets, checklists, and tracking systems used to support program operations and compliance. Assist with recruitment-related administrative tasks, including organizing applications and required candidate documentation. Assist with scheduling staff meetings, trainings, orientations, and other program-related activities. Maintain meeting records, attendance documentation, and other administrative records as required. Assist with preparing and organizing documentation for audits, accreditation activities, licensing reviews, and other compliance-related activities. Support implementation and maintenance of organizational policies and procedures. Maintain confidentiality of client, employee, contractor, and organizational information in accordance with HIPAA and organizational policies. Communicate professionally with staff, clients, families, referral sources, and community partners as appropriate. Utilize the organization's electronic systems, including the electronic health record (EHR), for authorized administrative functions. Identify missing, incomplete, or expired administrative documentation and communicate follow-up needs to the appropriate staff member or CEO. Perform other administrative duties necessary to support efficient PRP operations. Qualifications High school diploma or equivalent required. Associate's or bachelor's degree in healthcare administration, business administration, human services, social work, psychology, behavioral health, or a related field preferred. Previous administrative experience in behavioral health, mental health, healthcare, human services, or a related setting preferred. Previous experience with a Psychiatric Rehabilitation Program (PRP) or other Maryland behavioral health program is strongly preferred. Strong organizational and time-management skills. Excellent written and verbal communication skills. Strong attention to detail and ability to maintain accurate records. Ability to manage multiple deadlines and administrative responsibilities. Ability to handle confidential and sensitive information professionally. Proficiency with Microsoft Office, Google Workspace, electronic records systems, and other administrative technology. Familiarity with HIPAA and confidentiality requirements preferred. Ability to work independently while collaborating effectively with leadership and program staff.

This position does not provide psychotherapy or other clinical treatment services and is not responsible for independently providing clinical supervision.
