Project Assistant This role supports a large-scale integration program as a Project Assistant who will also perform essential administrative duties. The position is ideal for someone early in their career who wants broad exposure to project coordination, stakeholder communication, and project administration. Junior Project Manager & Administrative Support Program Management /PMO Reports To:
Project Manager / PMO Lead Role Summary Assist cross-functional integration projects by coordinating scheduled activities, tracking tasks, maintaining project artifacts, coordinating meetings, and supporting day-to-day admin needs. This role will grow into more formal project management responsibilities with mentorship. _________________________________________________________________ Key Responsibilities- Support the planning and scheduling of project activities under the guidance of the PMO Lead.
- Maintain and update project artifacts: RAID log, project plan, milestones, RACI, meeting minutes, action logs, and status dashboards.
- Coordinate meeting logistics: scheduling, agendas, attendee communications, and follow-up on action items.
- Track tasks and dependencies; help monitor progress against milestones.
- Assist with risk and issue logging, escalation, and resolution tracking.
- Prepare status reports and management updates for stakeholders.
- Coordinate internal and external communications related to the integration program.
- Handle general admin duties: document management, filing, travel arrangements, onboarding/offboarding support, and vendor/partner coordination as needed. Administrative Responsibilities (Special Focus)
- Manage calendars, coordinate meetings, and book resources.
- Prepare and distribute meeting minutes and action logs; follow up on owners and due dates.
- Maintain repository of project documents with version control and access controls.
- Coordinate travel arrangements and expense reporting for project team members.
- Support onboarding and offboarding of project participants as needed.
- Create, format, and distribute standard project communications (emails, slides, reports). _________________________________________________________________ Required Qualifications
- 6-12 months of professional experience in project coordination, administration, or related roles.
- Very strong organizational skills and the ability to manage multiple small tasks with tight timelines.
- Clear written and verbal communication; willingness to learn and ask questions.
- Proactive, detail-oriented, and able to work with limited supervision.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with basic project management concepts (scheduling, milestones, risks, issues) is a plus but not required.
- Comfortable working with cross-functional teams and stakeholders.
- Ability to handle sensitive information with discretion.
- Enthusiasm for growth into broader PM responsibilities over time. _________________________________________________________________ Preferred Qualifications
