Job Title:
Contracts Administrator Job Description We are seeking a detail-oriented and organized Contracts Administrator to join our team. The ideal candidate will have strong experience in contract administration and project billing, with a keen eye for accuracy in documentation and financial reporting. This role requires collaboration with various departments to ensure seamless project execution and financial integrity. Responsibilities Maintain accurate job records and documentation. Perform job cost accounting and project performance analysis, including tracking quantities, progress, and budget variances. Prepare and analyze daily, weekly, and monthly job cost and performance reports, requesting and/or preparing correction work orders when required. Set up and maintain jobs in Viewpoint, ensuring accuracy for P&L reporting and updating for change orders as needed. Manage full job billing cycle, including system entries, required documentation, and contract compliance. Monitor payments and lead collection efforts for outstanding billings. Administer subcontractor agreements, setups, and payments. Complete job setups in point-of-sale systems and review material sales for accuracy, initiating corrections when needed. Collaborate with construction teams and other departments to provide job support, performance insights, and reporting. Support monthly close processes, including preparation of financial reports, forecasts, budgets, and sales/cost analysis. Handle phone calls from customers, vendors, and the public. Review timesheets and perform general office duties. Be available for daytime, plus occasional evening and weekend phone calls. Ensure regular and predictable attendance at assigned times. Assist other departments as requested or assigned. Essential Skills 3+ years of experience with contract administration/project billing. Experience with MS Excel. High school diploma or GED and four years of related experience. Strict adherence to safety requirements and procedures as outlined in company policies. Detail-oriented with accurate data entry, data research, and strong organizational skills. Proficient in Microsoft Office applications and effective in using the internet for research and evaluation. Excellent communication, analytical, and problem-solving abilities. Ability to manage multiple tasks with a focus on timeliness and responsiveness. Professional, courteous, and able to interact effectively with coworkers, vendors, and all levels of management. Team-oriented with the ability to work independently and maintain a strong work ethic. Additional Skills & Qualifications Preferred experience in construction or similar industry. Willingness to work varying hours, including nights and weekends, if required. Maintains a high standard of ethics, integrity, and cleanliness in workspaces and equipment. Work Environment This position will start with 5 days onsite and then move to a hybrid work model. The role includes general office duties and requires regular and predictable attendance, with occasional evening and weekend work as necessary.
