Job Description

Job Overview We are seeking a dynamic and highly organized Remote/On Site Office Assistant to join our team! In this vital role, you will provide comprehensive administrative support to the principal designer to ensure smooth daily operations across various projects. Your energetic approach and exceptional organizational skills will help streamline office functions, coordinate projects, manage schedules, and enhance overall efficiency. Due to the nature of this position, there is much flexibility. We strive to provide a top notch, personalized experience to our clients, so a positive attitude, communication style and approach are one of the most important requirements of this position. Duties Manage and coordinate project calendars and deadlines Maintain regular contact with clients via text message, email and phone, to ensure project updates are communicated Provide executive administrative support by preparing reports, proofreading documents, transcribing meetings, and handling correspondence with professionalism and attention to detail Correspond with vendors and keep track of orders and deliveries. Support bookkeeping activities including invoicing, expense tracking, and using QuickBooks or similar accounting software for financial record-keeping Maintain organized digital filing systems—fostering easy access to important documents while ensuring compliance with confidentiality standards Provide front desk-like support remotely by responding promptly to client inquiries and providing excellent customer service in all communications Use office management skills to streamline administrative workflows, improve processes, and support project coordination efforts across teams Qualifications Proven experience in administrative roles with a strong background in office management or executive support Experience with bookkeeping software such as QuickBooks is highly desirable Strong typing skills coupled with excellent proofreading and transcription abilities Exceptional organizational skills with the ability to multitask effectively in a remote setting Excellent phone etiquette skills across multi-line systems and professional communication capabilities Prior experience supporting event planning or project coordination is preferred Ability to adapt quickly to new technology platforms while maintaining high levels of computer literacy Self-motivated with a proactive attitude towards problem-solving and continuous improvement Join us as a Remote/On Site Office Assistant if you're ready to bring your energetic spirit and meticulous organizational talents into a role that makes a real impact!
