The organization offers a collaborative, fast-paced environment and is seeking an experienced administrative professional to support key members of its leadership team.

Job Description:

We are seeking an experienced Senior Administrative Assistant to provide high-level administrative and operational support to a group of leaders. This individual will work closely with senior leadership to coordinate schedules, communications, meetings, travel, reporting, and ongoing business priorities. The ideal candidate is highly organized, proactive, polished, and comfortable working independently. This position requires someone who can anticipate needs, manage competing priorities, exercise strong judgment, and handle sensitive information with discretion.

Key Responsibilities:

Provide comprehensive administrative support to multiple members of the leadership team. Manage complex calendars, appointments, meetings, conference schedules, and travel arrangements. Track important deadlines, projects, and leadership priorities to help ensure timely completion of deliverables. Draft, edit, and format professional correspondence, reports, presentations, memos, and other business materials. Gather, organize, and summarize information for presentations, proposals, reports, and leadership initiatives. Communicate professionally with internal teams, external partners, and vendors on behalf of leadership. Process and organize executive expense reports and related documentation. Maintain confidential records, electronic files, and time-sensitive materials with a high level of accuracy. Coordinate meeting logistics, including agendas, materials, meeting spaces, and notes as needed. Assist with employee engagement and recognition programs, including appreciation events and annual initiatives. Support special projects, committees, and cross-functional initiatives. Identify opportunities to improve administrative processes, organization, and overall team efficiency. Balance multiple projects and shifting priorities while maintaining strong attention to detail.

Qualifications:

3-5+ years of Senior Administrative Assistant or comparable executive-level administrative support experience required. Bachelor's degree required. Experience supporting multiple leaders or senior-level stakeholders simultaneously. Strong proficiency with Microsoft Office, including PowerPoint, Word, Excel, and Outlook. Ability to create polished presentations, reports, correspondence, and other executive-level materials. Strong written and verbal communication skills with a professional and polished approach. Excellent organizational, project coordination, and problem-solving abilities. Demonstrated ability to work independently and anticipate leadership needs with limited direction. Strong judgment and discretion when handling confidential or sensitive information. Ability to manage competing deadlines and adjust quickly as priorities change. Comfortable learning and utilizing business technology and collaboration platforms.

Additional Details:

Joining a collaborative administrative team of approximately three. Technology may include Microsoft Office, Microsoft Teams, Coupa, and Box. Position is open due to ongoing team transitions and organizational needs. Seeking someone who can step in quickly, take ownership of responsibilities, and operate with a high degree of independence.
