Job Description
Job Summary:
The Special Projects Assistant supports AFDO's training, events, and program administration by coordinating logistics, managing communications, and ensuring smooth delivery of courses, workshops, and meetings. This role collaborates with internal and external partners to maintain high-quality program operations. The successful candidate will excel in a highly interactive environment, bringing strong self-motivation, proactive problem-solving skills, and excellent organizational abilities to manage multiple priorities effectively.Responsibilities:
Program Coordination & Administration Prepare and distribute reports on events, trainings, and webinars. Training & Event Logistics Support planning and execution of in‑person and virtual meetings, conferences, and trainings. Serve as producer for training events, managing all technical and A/V components. Develop facilitator guides and production masters for courses and events. Provide on‑site support, including registration and audiovisual assistance. Communications & Course Support Manage all pre‑ and post‑course communications, including confirmations, reminders, instructions, and follow‑up messages. Design and distribute course completion certificates. Create and administer participant surveys using SurveyMonkey and summarize results for evaluation and improvement. General Support Perform additional duties as assigned to support organizational operations and events. Serve as Administrator for the Seafood HACCP Alliance (SHA), including: Coordinating logistics for Executive Committee and Train‑the‑Trainer sessions Drafting announcements and LinkedIn content Managing course registrations and certificates Maintaining the SHA webpage Coordinate logistics and production for AFDO training programs. Experience Be professional, well-organized, detailed oriented, and able to multi-task Be able to work independently and as part of a team, in a fast-paced environment Be a proficient user of Microsoft Outlook, Word, Excel, and PowerPoint (intermediate to advanced) Strong professional, analytical, interpersonal, and written and oral communication skills Must be a self-starter, requiring minimal direction for completing assignments Comfortable working in a setting of constant change Be able to organize a daily workload by priorities Be able to meet deadlines in a fast-paced quickly changing environment Take a proactive approach to problem-solving with strong decision-making skills Ability to troubleshoot basic technical issues and support others in navigating digital tools. Experience using digital collaboration tools (e.g., Zoom, Teams, shared drives, project management systems, computer setup, software, hardware, AV needs). Be able to travel multiple times per year to meetings, trainings, and/or regional/national conferences, as required by your positionPay:
