MUST HAVE TRUE EXPERIENCE AS A PERSONAL/ADMINISTRATIVE ASSISTANT WITH REFERENCES AVAILABLE FOR CONTACT

•What This Person Will Take Ownership Of The purpose of this role is to take administrative work, follow-up, organization, and recurring tasks off the founder's plate—not simply wait for a daily to-do list. This person should be able to learn how the founder works, recognize what needs attention, and independently keep things moving. Email & Daily Priorities Email management will be a major responsibility. The founder often starts the morning by responding to the newest or most urgent emails, but doesn't always have time to work through the entire inbox before being pulled into other priorities. This person will help create a system around email by: Reviewing the inbox each morning Identifying and prioritizing emails that require the founder's personal response Creating a short, clear list of what actually needs her attention Responding independently to emails that can be handled without the founder Following up on unanswered emails Making sure invoices, vendor requests, deadlines, and important information aren't buried in the inbox Organizing and cleaning up the inbox Flagging things that require a decision rather than simply forwarding everything Drafting responses when the founder's input is required Keeping track of items we are "waiting on" and following up until they are resolved The goal is for the founder to no longer feel like she has to constantly check her inbox to make sure something important hasn't been missed. Calendar & Personal Organization This person will help turn conversations, emails, appointments, deadlines, and commitments into an organized calendar and actionable system.

Responsibilities may include:

Adding appointments and commitments to the founder's calendar Making sure important dates and deadlines are captured Scheduling appointments and coordinating availability Adding reminders and preparation time when needed Helping organize personal and business commitments Looking ahead at the upcoming week and identifying potential conflicts or things that need preparation Making sure important things don't live only in text messages, emails, screenshots, or the founder's memory Design & Production Support This person will provide hands-on administrative support throughout the Worth Collective design and production process.

This may include:

Organizing incoming fabric samples and swatches Photographing fabric samples Sending photos and information to vendors Organizing physical samples so they can easily be located Preparing and shipping samples when needed Disposing of, donating, archiving, or otherwise clearing out samples that are no longer needed Ordering materials and supplies Tracking outstanding samples, fabrics, approvals, and vendor requests Helping make sure each step of the design process has a clear workflow Identifying when something is sitting unfinished or waiting on someone Helping document processes so the same information doesn't have to be recreated each time Warehouse & Operational Organization This person should also be comfortable stepping into the warehouse and helping create better administrative systems.

This could include:

Helping document warehouse processes Creating checklists and recurring workflows Helping identify areas where information or responsibilities are getting lost Organizing administrative information related to warehouse operations Helping leadership establish clearer ways to communicate tasks, updates, and priorities Following up on operational projects to make sure they are actually completed The goal is not for this person to manage the warehouse team, but to help create the organization and systems that make the warehouse run more smoothly. Team Communication & Organization One important project for this role will be helping us improve how our teams communicate. Currently, information can live across text message groups, notes, shared documents, email, and other places. We want to establish a more formal and organized communication system.

This person will help:

Research and help implement a central communication/project-management system Determine where different types of communication should live Organize team groups, projects, documents, and recurring communication Help move important information out of scattered text-message threads Create simple processes for sharing updates and assigning tasks Help document decisions and action items Make sure people know where to go to find information Help maintain the system once it is established Invoices, Data Entry & Administrative Work There will be a significant administrative component to this position.

Responsibilities may include:

Entering invoice information Organizing invoices and supporting documentation Making sure invoices received through email are captured and routed appropriately Entering information into spreadsheets Updating trackers Organizing files and documents Checking information for accuracy Following up when information is missing Keeping administrative projects moving without requiring constant supervision Shopify, Marketing & Ads Support This person should be comfortable learning and working inside Shopify and supporting the administrative side of our marketing.

Responsibilities may include:

Loading and updating information in Shopify Entering product information Helping maintain product data Entering links and information needed for advertising campaigns Working with our ads manager to gather or provide needed information Making sure the ads manager has the links, products, assets, information, or updates they are waiting on Following up on outstanding marketing requests Helping coordinate information between the founder, internal team, and outside marketing partners This person does not need to be the marketing strategist or ads expert. Their role is to make sure the administrative pieces are organized and that information moves between people without the founder constantly having to be the middleman. Team Culture & Special Projects We also want this person to help with the thoughtful things that are easy to want to do but difficult to execute when the day gets busy.

This could include:

Planning fun surprises for the team Ordering gifts or treats Helping coordinate celebrations and recognition Remembering important team milestones Helping execute employee appreciation ideas Researching and coordinating special projects

The Most Important Part of This Role:

Ownership We are specifically looking for someone who is self-motivated and does not require the founder to create their entire workload every day. There will always be new tasks, but this person should also have recurring areas they own. If the founder gets pulled into something else, the assistant should still know what to work on. They should be able to look at: The inbox The calendar The "waiting on" list Outstanding invoices Design and sample projects Shopify tasks Marketing requests Warehouse projects Upcoming deadlines Personal administrative tasks …and independently determine what needs to move forward. The goal is not to create another person for the founder to manage. The goal is to create someone who helps the founder manage everything else. Hybrid role - Some days will be at the Worth Collective Headquarters, some days in Weatherford, potentially some remote days here and there.

Pay:

$18.00 - $24.00 per hour
