Title:
Administrative Assistant to the Principal
Reports To:
Building Principal
Job Goal:
To contribute to the operation of a school office so that it is an efficient and welcoming school environment.
Qualifications:
High School diploma. Skilled in the use of technology and various office equipment. Proficient with MS Word/Excel, Google Suite, and other software applications that support school operations. Ability to quickly learn Budgeting and School Reporting Software, such as Tyler and Aspen. Strong reading, writing, and communication skills. Clerical/Secretarial experience.
Performance Responsibilities:
Reception Duties:
  • Warmly greets visitors, students, and parents.
  • Answering phone calls and emails, directing inquiries to the appropriate staff members.
  • Managing the front desk area.
  • Oversees the principal's calendar
Student Records Management:
  • Maintaining student records, including enrollment forms, attendance records, and academic transcripts and protecting confidentiality of these records
  • Updating student information in the school database.
  • Handling student registrations, transfers, and withdrawals.
Staff Coordination:
  • Scheduling appointments and meetings for school administrators
  • Assisting with staff communication, such as distributing memos and notices.
Financial Management:
  • Responsible for the creation of purchase requisitions, checking in of materials received, and updating the budgeting program
Attendance and Absence Management:
  • Recording student attendance and absences and following up on unexplained absences.
Facility and Equipment Coordination:
  • Coordinating maintenance requests for school facilities and equipment.
  • Ordering and maintaining office and school supplies.
Communications:
  • Assist the principal in distributing newsletters, announcements, and other communications to parents, students, and staff.
Health and Safety Compliance:
  • Ensuring compliance with health and safety regulations.
Data Entry and Reporting:
  • Entering data into the school's information management system.
  • Generating reports on attendance, enrollment, and other relevant metrics
Other Administrative Tasks:
  • Assisting with organizing school events
  • Providing general administrative support to school administrators
  • Prepares various materials, such as letters,, reports, memos, purchase orders, etc., from rough drafts, general instructions, or through established procedures.
  • Maintains files of correspondence, forms, reports, and other materials; files material to predetermined classifications.
Length of Work Year:
Ten months dependent upon assignment.

Length of the contract to be determined by the Superintendent.

Performance will be evaluated in accordance with the provisions of the School Committee policy on the evaluation of non-teaching staff.
