Learning & Development/Employee Education Job Summary:
Position OverviewWe are seeking an organized and detail-oriented Administrative Assistant to support our Center for Educational and Professional Excellence and Organizational Development team.
This position plays an important role in supporting employee orientation, training, professional development, and education initiatives across the hospital. You will work closely with leadership and education team members while managing employee education records, supporting the Learning Management System (LMS), coordinating orientation activities, and keeping departmental operations running smoothly.
This is an excellent opportunity for an experienced administrative professional who enjoys coordinating people, information, systems, and multiple priorities in a healthcare environment.
Key Responsibilities
- Provide day-to-day administrative support to Organizational Development leadership and the education team
- Coordinate logistics for employee orientation, training, and professional development activities
- Communicate orientation schedules and requirements with departments and internal stakeholders
- Prepare orientation packets, learning materials, presentations, and other educational resources
- Welcome new employees and assist with the onboarding process
- Review new employee documentation and enter or maintain information in SharePoint
- Maintain accurate employee education and training records using Excel
- Support the hospital's Learning Management System, including course enrollment, tracking, and reporting
- Use Workday, SharePoint, Microsoft Excel, PowerPoint, Outlook, and other systems to support departmental programs and communications
- Prepare reports, documents, correspondence, presentations, and other materials as needed
- Monitor office supplies and coordinate ordering to support department operations
- Perform scanning, copying, filing, data entry, and other administrative functions
- Maintain accurate and organized electronic and physical records
- Support compliance with organizational and regulatory education requirements
- Provide additional administrative and project support as neededPhysical Requirements
- Approximately 60% sitting and 40% standing
- Ability to occasionally lift up to 20 pounds, including orientation materials
- Ability to stand for extended periods during certain orientation activities
- Ability to climb multiple flights of stairs during portions of the workday when needed to greet and escort staffAdditional RequirementsA valid driver's license is required.
