About Arancia Arancia Physical Therapy is a growing holistic wellness practice in Cranston, Rhode Island, built around a whole-body approach to helping people feel and function better. What started as a local practice is becoming something much bigger, and our vision is to continue expanding the Arancia brand, services, and reach well beyond Rhode Island with our online programs. With that growth comes more opportunities, more moving pieces, and more people who need our attention. We're looking for an exceptional Office Manager & Personal Assistant who wants to become an important part of where Arancia is going next. This person will work closely with our founder and owner, and become someone she can truly rely on to keep both the business and her day moving forward. The Role This is not a traditional front desk position, and it is not a role where you wait for someone to tell you what to do next. We need someone who notices what needs attention and handles it. Someone who remembers the follow-up that still needs to happen, sees the email that needs a response, keeps an important deadline from slipping, knows which lead needs another call, and closes loops without needing to be reminded. A major part of this position is owning our lead follow-up and nurture process. People reach out to Arancia every day because they are looking for help, sometimes after dealing with symptoms for months or even years. Your job is to make sure those people feel seen, heard and understood from the moment they enter our world. That means responding quickly, building genuine relationships, following up consistently, answering questions, reconnecting with people who have gone quiet, and helping qualified leads take the next step toward becoming patients. We are not looking for someone who makes one phone call, leaves a voicemail, and considers the job finished. We are looking for someone who is comfortable following up again, finding another way to connect, keeping detailed notes, remembering where conversations left off, and staying with a lead until there is a clear next step or a clear no. What You'll Own Responding quickly and warmly to new patient inquiries Following up with leads by phone, text, and email Nurturing prospective patients who are not ready to book immediately Scheduling and confirming Discovery Visits and appointments Keeping our lead pipeline organized and making sure no inquiry falls through the cracks Providing an exceptional experience from a patient's first interaction with Arancia Supporting patient retention, reactivation, and community outreach Keeping the schedule full and noticing when there are any gaps, and proactively work towards filling them. Upholding the clinic policies and ensuring that all patients and staff adhere to them. Assisting with administrative systems and daily clinic operations Helping with select marketing projects, social media, email communication, and events Identifying opportunities to improve systems instead of waiting to be told what needs attention Working with the Founder As Arancia grows, the founder is balancing patient care, team leadership, hiring, marketing, partnerships, new opportunities, meetings, projects, emails, appointments, and the hundreds of small decisions that come with owning a growing company. This role helps create space around her so she can stay focused on the areas where her time has the greatest impact. You may be coordinating a meeting one minute, following up with a prospective patient the next, organizing an upcoming project, handling an appointment, communicating with the team, or taking care of a personal task that needs to come off her plate. The details will change from day to day. Your ability to organize them, prioritize them, and get them across the finish line should not. Over time, we want this person to know the rhythm of Arancia well enough to anticipate what is coming rather than constantly waiting for direction.
