In person Job Description Automatic Temperature Controls, Inc. (ATC) is looking for an experienced Operations & Accounting Coordinator to join our Cranston office. This position supports several areas of the company, including accounting, Project Managers, service personnel, field technicians, customers, and vendors. We are looking for someone who is extremely organized, pays close attention to detail, communicates well, and is comfortable working in a supporting role with different people throughout the company. The work includes accounts payable, purchase orders, maintaining customer and vendor information, organizing job-related paperwork, assisting with reports and spreadsheets, answering and directing calls, and helping office and field employees get the information they need. This is not an entry-level clerical position. We are looking for someone with several years of professional experience who can bring strong organizational skills, good judgment, and a high level of accuracy to the position. There is room for this position to develop over time as the employee learns more about ATC's operations and demonstrates the ability to take on additional responsibilities. Responsibilities Enter and review vendor invoices in the company operating system. Match invoices with purchase orders, packing slips, and supporting documentation. Assist with basic General Ledger coding. Work with purchase orders and help employees obtain job and purchasing information. Maintain accurate customer and vendor information. Review paperwork for missing, incomplete, or incorrect information. Follow up with the appropriate employee, customer, or vendor when additional information is needed. Maintain organized electronic and paper records. Help organize job-related information and supporting documentation. Assist with spreadsheets, reports, data entry, and general accounting records. Work with Project Managers, service personnel, and field technicians on administrative needs. Assist office and field employees with information needed to complete their work. Communicate with customers and vendors professionally by phone and email. Assist with material and equipment returns. Receive UPS, FedEx, and other deliveries and notify the appropriate employees. Process incoming mail and distribute it within the office. Assist with weekly mailings and routine accounting paperwork. Maintain office supplies and assist with ordering as needed. Answer and direct incoming calls and take complete messages when the appropriate person is unavailable. Assist with other accounting, administrative, and operational responsibilities as needed. Attention to Detail and Organization Attention to detail and organization are two of the most important parts of this position. The person in this role will be working with invoices, purchase orders, customer information, vendor information, job numbers, accounting records, and other company documentation. Small errors can create larger problems later, so accuracy is important. We are looking for someone who: Reviews their work before considering it complete. Notices when information is missing, inconsistent, or does not look correct. Keeps electronic and paper records organized so information can be found when needed. Keeps track of open items and follows up appropriately. Can manage information coming from several different people without losing track of what still needs to be completed. Maintains clear notes and records of outstanding items. Understands the importance of entering information correctly the first time. Can prioritize work when several requests come in during the same day. Keeps their work area, files, emails, and electronic records organized. Is comfortable working with detailed information for extended periods of time. Working With Others This position plays an important supporting role within the company. You will regularly work with Project Managers, accounting staff, service personnel, technicians, customers, and vendors. The ability to work well with different personalities and departments is important. We are looking for someone who: Enjoys helping others get the information they need. Communicates clearly and professionally. Works well as part of a team. Understands that different departments may have different priorities. Is comfortable asking questions when instructions or information are unclear. Can follow up with coworkers without creating unnecessary conflict. Is willing to help different departments when needed. Understands the importance of supporting Project Managers and field personnel while still maintaining accurate accounting and office records. Can develop good working relationships with customers, vendors, and employees. Is comfortable providing support without needing to be the person making every decision. The person in this position should be able to work independently on their own responsibilities while also understanding that much of their work supports other employees and departments. Experience We Are Looking For We would like to find someone with at least 3 years of professional experience in one or more of the following areas: Accounting support Accounts payable Accounts receivable Billing Purchasing Office administration Operations support Construction administration Service administration Experience working for an HVAC, mechanical, electrical, plumbing, construction, engineering, facilities, property management, or other field-service company is strongly preferred. Candidates who have experience supporting Project Managers, technicians, field employees, multiple jobs, or customer accounts are especially encouraged to apply. Qualifications Minimum 3 years of professional office, accounting, administrative, or operations experience. Strong attention to detail. Strong organizational skills. Experience working with invoices, purchase orders, customer accounts, vendor accounts, or similar business records. Good working knowledge of Microsoft Excel and Outlook. Experience using accounting, ERP, CRM, or other business-management software. Comfortable working with numbers and basic accounting information. Strong written and verbal communication skills. Good follow-up skills. Ability to organize and maintain a large amount of information accurately. Ability to recognize when information is missing or does not appear correct. Comfortable contacting customers, vendors, and employees to obtain information. Ability to work well with different departments and personalities. Comfortable working in a supporting role for Project Managers, accounting staff, and field employees. Able to work independently once trained on a process. ATC has several different areas of operation, and there is an opportunity for the responsibilities of this position to grow as the employee becomes familiar with the company and demonstrates their abilities. Computer Skills Applicants should be comfortable using a computer throughout the workday, including: Microsoft Excel Microsoft Outlook Microsoft Word Electronic filing and document organization Data entry Accounting or business-management software Experience with construction accounting, ERP, CRM, or job-management software is a plus.
