Office Coordinator Office Coordinator:
This role serves as the face of the branch office, helping ensure a professional first impression for clients and visitors while keeping daily office operations running smoothly. Key responsibilities of Office Coordinator include, but are not limited to: Greet visitors and manage incoming calls, directing them to the right person or department. Sort, distribute, and prepare incoming and outgoing mail. Support day-to-day policy and billing tasks using our agency management systems. Process basic accounts payable and receivable paperwork. Order and maintain office supplies, and coordinate with vendors for equipment and facility needs. Keep common areas, conference rooms, and the kitchen clean, organized, and stocked. Help set up workspaces and equipment for new employees. Assist with company meetings, events, and other special projects as needed. Support Department Managers with Administrative Executive support
Measurement:
Quality and timeliness of daily office and administrative tasks. Cleanliness and organization of common areas, conference rooms, and reception spaces. Feedback from staff, clients, and visitors regarding office experience. Leadership team feedback.
Required Qualifications:
High school diploma or equivalent required; Bachelor's degree preferred. Strong verbal and written communication skills. Excellent organizational skills with the ability to manage multiple priorities and deadlines. Professional, friendly demeanor with strong customer service orientation. Ability to manage sensitive and confidential information with discretion. Proficiency in Microsoft Office 365 Suite; prior office or insurance experience is a plus.
