Provides direct administrative support to and reports directly to the Maternal Child Health Manager. Supports the clerical and administrative needs of the Maternal Child Health RN in the office in order to help facilitate the program services.
Functions:
1. Screens incoming MCH correspondence and emails and distributes to MCH Manager and/or MCH Nurse, as appropriate. 2. Answers incoming department telephone calls and relays messages as appropriate to the MCH Manager or the MCH Nurse. 3. Answers caller questions regarding MCH services. 4. Prepares draft correspondence (letters, emails, etc.) for MCH manager and/or MCH nurse. 5. Assists MCH nurse with program outreach by scheduling home visits for incoming referrals. 6. Assists with entry of new MCH referrals into home care system. 7. Prepares new patient packets for distribution to MCH patients and families. 8. Maintains log of new MCH referrals. 9. Assists MCH Manager with monthly statistics compilation and reporting for billing submission. 10. Assists with obtaining maternal and child health literature for use with referral families. 11. Participates in mandatory in-services education for MCH program or education required for VNHH staff. 12. Follows policies and procedures of
VNHH. 13.
Performs other duties as assigned by the MCH manager.
Education and Experience:
1. Three to five years of experience working in a clerical or administrative assistant position, exhibiting a customer service mindset and administrative skills working with confidential and/or sensitive information. 2. Healthcare or medical office experience preferred. 3. Bilingual/Spanish language skills a plus. 4. College degree in business administration or equivalent vocational certification preferred.
Qualifications:
1. Understanding of the Agency philosophy and expectations. 2. Knowledge of the principles and practice of maternal and child health nursing, community health nursing, and the MCH program purpose. 3. Proficiency in word processing, typing, and spreadsheet applications. Comfortable with computer and internet. 4. Speaks in a clear, articulate manner in both individual and group situations. 5. Ability to maintain organization files and write letters of correspondence. Strong attention to detail. Able to improvise, multi-task and prioritize daily tasking in a constantly changing environment while maintaining composure.
