This position plays an important role in keeping projects organized, documentation current, and daily office operations running smoothly. This is not a position where every task will be assigned step-by-step. We are looking for someone who can learn our processes, take ownership of their responsibilities, recognize what needs to be done, and follow tasks through to completion. The ideal candidate is comfortable managing multiple priorities and communicating with customers, vendors, subcontractors, field employees, and management in a fast-paced restoration and construction environment. Responsibilities Set up new jobs and customers in company systems and maintain accurate project files. Prepare, organize, and maintain job documentation throughout the life of each project. Assist with billing, invoicing, accounts payable, and processing vendor and subcontractor invoices. Prepare and track subcontract agreements, purchase orders, and other project-related documents. Prepare and track project submittals and maintain records of approvals and required documentation. Take and distribute meeting notes and follow up on outstanding items. Track employee hours, time off, and related personnel records. Maintain inventory records and assist with ordering office and job materials. Coordinate material orders, deliveries, and pickups as needed. Communicate professionally with customers, vendors, subcontractors, and employees by phone and email. Answer incoming calls and assist with general customer and project inquiries. Maintain organized electronic and physical files for active and completed projects. Assist with job closeout by collecting and organizing required documentation. Enter and update project information accurately in company systems. Assist management and project teams with administrative tasks and project coordination. Maintain office supplies and help keep daily office operations organized. Handle sensitive company, customer, and employee information professionally and confidentially. Follow up on missing documents, unanswered requests, invoices, approvals, and other outstanding items without needing constant reminders. Perform additional administrative duties as needed to support daily operations. Ownership & Problem-Solving We are looking for someone who takes ownership of their work rather than simply completing assigned tasks. Once trained on our processes, you should be able to recognize what needs attention, determine the appropriate next step, and follow through. If something is missing, incorrect, overdue, or doesn't make sense, we expect you to investigate the issue and work toward a solution rather than simply passing the problem along.
