We are seeking a highly organized, proactive, and discreet Personal Assistant to support a business owner in daily operations. This role requires strong communication skills, sound judgment, and the ability to operate independently in a fast-paced environment. The ideal candidate will act as the owner's "eyes on the ground," ensuring visibility into day-to-day business activities and reporting key updates consistently.
Key Responsibilities:
Communication Management:
Handle incoming and outgoing phone calls professionally Manage and respond to emails in a timely and organized manner Serve as a primary point of contact for internal and external communications
Scheduling & Travel Coordination:
Coordinate and manage calendars, appointments, and meetings Arrange travel, including flights, accommodations, and itineraries Ensure schedules are optimized and conflicts are proactively resolved
Business Oversight & Reporting:
Conduct regular check-ins across business operations as directed Act as the owner's on-site representative when needed Track, compile, and report business statistics and performance metrics Provide clear, daily updates and summaries directly to the business owner
Operations & Task Management:
Prioritize and execute a wide range of administrative and operational tasks Maintain organized records, files, and reporting systems Anticipate needs, identify issues, and proactively implement solutions
Confidentiality & Compliance:
Handle sensitive business and personal information with strict discretion Sign and adhere to a Non-Disclosure Agreement (NDA)
Work Expectations:
Availability to work flexible, non-fixed hours based on business needs On-call responsiveness, including evenings or weekends when required Ability to adapt quickly to changing priorities and urgent requests
Requirements:
Proven experience as a personal or executive assistant preferred Strong organizational, multitasking, and problem-solving skills Excellent written and verbal communication abilities High level of professionalism, reliability, and discretion Proficiency with email, scheduling platforms, and basic business tools Ability to work independently and exercise sound judgment
