Administrative Assistant Sumter County is Currently Seeking an Administrative Assistant for Patriot Hall
Compensation:
Starting Salary:
$30,000 Annually Compensation may be based on qualifications. Position Summary The Administrative Assistant provides administrative and customer service support for Patriot Hall while helping ensure the successful coordination and execution of facility rentals and public events. Reporting to the Assistant Recreation Director, this position serves as the primary point of contact for rental inquiries, prepares contracts and financial documents, maintains office operations, and assists with event logistics to provide an exceptional experience for clients and visitors. Essential Duties & Responsibilities Serve as the primary contact for Patriot Hall rental inquiries and manage the facility calendar. Coordinate event scheduling and communicate with clients to ensure successful event planning and execution. Prepare rental agreements, billing invoices, purchase orders, requisitions, and other administrative documents. Process payments and refunds using RecTrac software while maintaining accurate financial records. Provide outstanding customer service by greeting visitors, answering telephone calls, and responding to inquiries. Assist with payroll processing by entering and verifying employee payroll information. Support public events by assisting with event setup, monitoring venue operations, and helping ensure compliance with safety regulations and rental agreements. Maintain organized filing systems, office supplies, meeting agendas, minutes, and other departmental records. Perform related administrative and operational duties as assigned. Minimum Qualifications Associate degree in a related field is preferred. Three (3) to five (5) years of administrative experience preferred. Ability to work evenings and weekends as needed for scheduled events. Knowledge, Skills & Abilities Strong verbal, written, and interpersonal communication skills. Excellent customer service and relationship-building abilities. Proficiency with Microsoft Office Suite and standard office technology. Strong organizational skills with exceptional attention to detail. Knowledge of general office procedures, recordkeeping, and filing systems. Ability to work independently while contributing effectively as part of a team. Demonstrates professionalism, accountability, sound judgment, and proactive problem-solving skills. Physical Requirements Ability to sit for extended periods while working at a computer. Ability to stand and walk throughout the facility during events. Ability to lift and carry up to 15 pounds occasionally. Ability to perform repetitive hand and arm movements associated with office and computer work. Additional Requirements Valid South Carolina driver's license. Successful completion of background investigation and pre-employment screening as required by County policy. Work Environment This position is primarily performed in an office environment within Patriot Hall with frequent interaction with County employees, clients, vendors, performers, and the public. Evening and weekend work is required to support scheduled events and facility operations. The position also requires occasional work throughout the venue during public events.
