The ideal candidate will have strong communication skills, precise attention to detail and the ability to multitask in a fast-paced environment. Having HOA experience is a plus, but not necessary. Responsibilities Manage multi-line phone systems, directing calls accurately and handling inquiries promptly. Maintain organized files, records, and documentation related to company operations, ensuring confidentiality at all times. Perform data entry tasks using computer software such as Microsoft Office and Appfolio to update resident information, billing, and financial records. Assist with bookkeeping duties including invoice processing, expense tracking, and basic financial reporting. Support office management activities by scheduling appointments, managing calendars, and coordinating meetings for association board members. Handle clerical duties such as proofreading correspondence, filing documents, and maintaining office supplies inventory. Communicate clearly with residents regarding community policies, upcoming events, or maintenance issues via phone or email. Support administrative projects that enhance community engagement and operational efficiency. Carry out client meetings when necessary (some evenings necessary) Experience Prior office experience in administrative support is required. Bookkeeping experience a plus, but a head for numbers is a must. Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and data entry tasks. Experience using multi-line phone systems and providing exceptional phone etiquette. Strong organizational skills with the ability to manage multiple priorities efficiently. Excellent communication skills—both verbal and written—with a focus on customer service excellence. Having experence creating Newsletters is a plus. Familiarity with handling confidential information discreetly while maintaining professionalism in all interactions.
