Job Summary We are seeking a proactive and detail-oriented Account and Project Admin to join our dynamic team. In this vital role, you will manage a variety of financial and administrative functions, ensuring the smooth operation of accounting processes and project support activities. Your expertise will help maintain accurate financial records, facilitate project coordination, and uphold compliance with industry standards. This position offers an exciting opportunity to contribute to organizational success through meticulous data management, effective communication, and strong financial acumen. Duties Handle data entry and maintenance of financial records using accounting software such as QuickBooks, Xero, Sage, or similar systems. Manage accounts payable and receivable processes, ensuring timely payments and collections while reconciling accounts on a regular basis. Prepare journal entries, balance sheet reconciliations, and general ledger adjustments in accordance with GAAP (Generally Accepted Accounting Principles) and applicable governmental accounting standards. Support payroll management through systems like ADP, Kronos, UltiPro, Ceridian, or Workday by processing payroll data accurately and confidentially. Assist with financial analysis including account analysis, budgeting, credit analysis, and Excel data analysis to support decision-making. Maintain compliance with SOX (Sarbanes-Oxley Act) controls by documenting procedures and ensuring internal controls are followed diligently. Coordinate project documentation, track milestones, prepare reports, and communicate effectively with team members to ensure project deadlines are met. Handle sensitive information with confidentiality while providing excellent customer service to internal teams and external partners. Support month-end closing activities by performing account reconciliation and verifying the accuracy of financial data across multiple accounting systems such as PeopleSoft or UltiPro. Experience Proven experience in accounting or finance roles with a strong understanding of corporate accounting principles including GAAP and governmental accounting standards. Hands-on experience working with diverse financial software platforms such as QuickBooks, Xero, Sage, PeopleSoft, ADP, Kronos, Ceridian or similar systems. Demonstrated ability in bookkeeping tasks like double entry bookkeeping, journal entries, account reconciliation, balance sheet reconciliation, and general ledger management. Familiarity with payroll systems such as Workday or UltiPro along with payroll management best practices. Strong numeracy skills including 10 key typing proficiency and math skills essential for accurate data entry and account analysis. Excellent organizational skills with the ability to handle confidential information responsibly while managing multiple projects simultaneously. Prior experience in public accounting or governmental accounting environments is highly desirable. Proficiency in Microsoft Office Suite—especially Excel for data analysis—and familiarity with spreadsheets for detailed financial reporting.
