Job Description
ACES Fuel Injection is seeking a professional, organized, and dependable Administrative Assistant (Front Desk) to support our day-to-day office operations. This position serves as the first point of contact for visitors and incoming communications while also providing administrative support across several areas of the company, including Human Resources, purchasing, and leadership. The ideal candidate is detail-oriented, comfortable handling multiple priorities, and able to communicate professionally with employees, vendors, customers, and members of leadership. This role requires discretion and confidentiality when working with employee information, company records, and business correspondence. ResponsibilitiesFront Desk & Office Administration Greet and assist visitors, customers, vendors, and employees in a professional and friendly manner Maintain a professional, organized, and welcoming front desk and lobby area Coordinate incoming and outgoing mail, packages, and deliveries Assist with scheduling meetings, appointments, and internal activities Maintain electronic and physical files and assist with general recordkeeping Prepare documents, correspondence, spreadsheets, and other administrative materials Assist leadership and departments with administrative projects and day-to-day operational needs Coordinate professional correspondence and communications with leadership, vendors, business partners, and other external contacts Handle sensitive and confidential information appropriately Human Resources Support Assist HR with new employee onboarding and orientation preparation Prepare onboarding paperwork, employee files, checklists, and related documentation Assist with employee timekeeping and timesheet review Help maintain accurate employee records and HR documentation Assist with scheduling interviews, meetings, training, and employee-related activities Provide general administrative support for HR programs, forms, and employee communications Maintain confidentiality of employee and company information at all times Purchasing & Office Supplies Monitor office and administrative supply levels and place orders as needed Assist with purchasing office supplies and other approved company items Communicate with vendors regarding orders, pricing, availability, and deliveries Maintain purchasing records, receipts, order confirmations, and related documentation Help ensure departments have the routine supplies needed for daily operations Additional Administrative Support Assist with data entry, spreadsheets, reports, and document preparation Maintain and update tasks, projects, and follow-up items using company task management software Support special projects and company initiatives as assigned Assist other departments with administrative needs when appropriate Help identify opportunities to improve office organization and administrative processes Perform other related duties as needed to support company operations Qualifications Previous experience as an Administrative Assistant, Receptionist, Office Assistant, or in a similar administrative role preferred Strong computer proficiency and confidence using technology in a professional office environment Comfortable working with Google Workspace, including Gmail, Docs, Sheets, Drive, and Calendar Comfortable using task management software and maintaining accurate task updates, deadlines, and follow-up items Familiarity with AI tools and the ability to use them appropriately to assist with research, drafting, organization, and administrative efficiency Ability to review and verify AI-generated information for accuracy and use sound judgment when working with confidential or sensitive company information Ability and willingness to learn new software, systems, and administrative tools Strong verbal and written communication skills Excellent organizational skills and attention to detail Professional communication skills when working with employees, leadership, vendors, and outside business contacts Ability to manage multiple priorities and adjust to changing needs throughout the workday Ability to work independently while also collaborating with multiple departments Strong judgment and ability to maintain confidentiality Dependable, professional, and team-oriented High school diploma or equivalent required; associate degree or higher preferred We Offer Competitive compensation Opportunities for professional growth and advancement PTO eligibility after one year of employment Medical insurance available upon completion of the probationary period A supportive, team-oriented workplace Opportunities to gain experience across multiple areas of business operations This position is a great opportunity for someone who enjoys working with people while also taking an active role in keeping an office organized and running efficiently.
