Job Description
Overview Copperband Technologies is looking for an organized, dependable Administrative Assistant to help keep our office, team, and day-to-day operations running smoothly. We are a growing IT services company serving businesses and organizations throughout Middle Tennessee and Southern Kentucky. This position works closely with company leadership, our technical team, customers, and vendors. We need someone who can stay organized, communicate professionally, follow through on details, and handle a variety of responsibilities without needing every step spelled out for them. What You'll Do Assist company leadership with day-to-day administrative tasks and follow-up Answer and direct incoming phone calls Create client support tickets in our ticketing system and route requests to the appropriate team member Communicate professionally with customers, vendors, and business partners Prepare and organize documents, correspondence, reports, and other business records Help track outstanding items and make sure follow-ups don't get forgotten Assist with customer and vendor paperwork Maintain organized electronic and physical records Help coordinate office activities, supplies, shipments, and deliveries Assist with basic billing, purchasing, and administrative processes as needed Work with our technical and administrative staff to keep projects and internal tasks moving Help with occasional company events, community activities, and special projects Handle confidential company and customer information appropriately Take ownership of the miscellaneous details that inevitably come up in a busy small business What We're Looking For The right person for this position is: Highly organized and detail-oriented Dependable and consistent Professional on the phone, in email, and in person Comfortable working with different personalities and priorities Able to manage multiple tasks without losing track of them Willing to ask questions when necessary but capable of working independently Good at following through and closing the loop on assignments Comfortable learning new software and business systems Proficient with Microsoft Outlook, Word, Excel, and Microsoft 365 Able to write clear, professional emails and business correspondence Discreet with confidential information Someone who sees something that needs to be done and takes care of it Previous administrative, office management, executive assistant, customer service, or similar experience is preferred. Experience working in a technology company is helpful but not required . We can teach our systems; organization, judgment, communication, and follow-through are much harder to teach.
