Job Description
Job Overview The Office Clerk provides part-time front-desk and administrative support for The Gutter Professionals' Clarksville office. Working alongside the Administrative Team, the Office Clerk helps answer the phone, greet customers, and field website form fills, emails, and texts. The Office Clerk supports the sales process and customer experience for new and existing customers by entering job and customer information into the company's management software and helping that data move accurately through the system. Scheduling estimates and creating a working relationship between the Office Clerk, the Estimator, and/or the Project Administrator that keeps the customer experience smooth and consistent. Duties Answer phones and greet customers; take customer intake calls in a professional, consistent manner. Enter new customer and job information into House Call Pro (HCP) or other software. Help schedule job estimates in coordination with the Estimator and/or Project Administrator, allowing adequate drive time between appointments. Review online leads; chat with or call the customer and convert qualified leads and calls to a scheduled estimate. Enter estimates in HCP from scratch or from a template, including material detail (coil per linear foot, downspouts, miters) and color notes.
Process approved estimates:
record the approval date, print the approved estimate from HCP, attach the inventory sheet, place it in the Project Manager inbox, and send the customer an approval confirmation text. Enter inventory tickets (typically twice weekly) and route them to the appropriate team member. Maintain internal control safeguards for customer data and its flow across systems. Assist the Financial Analyst with A/R follow-up (collections) and enter A/P as needed. Maintain consistent data entry policies, practices, and procedures across all software platforms. Use reference tools to complete customer and job information accurately. Experience Working knowledge of Microsoft Office Products, House Call Pro (HCP), QuickBooks, and JobTread, or ability to learn quickly. Strong phone etiquette and a proven customer service-oriented attitude. Attention to detail and accuracy in data entry. Basic understanding of gutter installation terminology and materials, or willingness to learn. Ability to organize and prioritize multiple tasks in a fast-paced office environment.
