Job Description

Job Overview We are seeking a dynamic and highly organized Secretary to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth communication, efficient scheduling, and effective administrative support. Responsibilities Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using professional phone etiquette Maintain and update calendars, schedule appointments, and coordinate meetings to optimize executive and team productivity Prepare, proofread, and format documents using Microsoft Office suite including Word, Excel spreadsheets, and other productivity software Handle data entry tasks accurately within spreadsheets and databases such as QuickBooks for financial record-keeping and invoicing Greet visitors at the front desk with a friendly demeanor, providing exceptional customer service and support Organize filing systems both physically and digitally to ensure easy retrieval of documents and records Assist with general office management duties including supply inventory, photocopying, scanning, and maintaining office equipment Qualifications Proven clerical experience or office experience demonstrating strong organizational skills and attention to detail Proficiency in Microsoft Office applications (Word, Excel, Outlook) along with excellent computer literacy and technical proficiency Experience with data entry, filing systems, and managing spreadsheets effectively Strong communication skills with the ability to handle phone calls professionally in a bilingual environment if applicable Knowledge of multi-line phone systems and office management procedures preferred Ability to prioritize tasks efficiently with excellent time management skills Personal assistant or administrative experience is a plus but not required; training will be provided for specific software tools such as QuickBooks Join us in this energetic role where your organizational talents will shine!
