SUMMARY OF FUNCTIONS
The Administrative Assistant is responsible for the daily management and evaluation of the Office area. They also provide customer service to individuals who contact the Company, secretarial and clerical support to all senior management staff, and performs general office tasks.MAJOR DUTIES AND RESPONSIBILITIES
Responsible to provide accurate information and outstanding customer service to callers and visitors including answer phones and direct calls to appropriate staff, answer general questions regarding the organization, welcome office guests and maintain a visitors log, prepare and mail information packets and quotes, as needed. Responsible for being the central hub of communications with customers and all group managers and to communicate all information relating to customer questions and concerns. Does daily outgoing shipping paperwork (Packing Lists, BOL, Invoice, Certs, Labels, etc.…), lines up freight carriers, filing, and mailing/ e-mailing paperwork to customers, along with tracking open job files, and closing files as necessary. Responsible for entry of all customer orders into the system by sales order number, work order, and Monthly Sales Report. Responsible to provide accurate and timely secretarial and clerical support for senior management staff including such items as: draft letters and reports, prepare and mail correspondence, takes minutes of management meetings. Responsible for the care and maintenance of computers, office equipment including office equipment service contracts. Responsible to perform other general office tasks including process outgoing mail; administrative data entry; organize and maintain general office files; maintain inventory of office supplies and equipment. Responsible to make a daily mail run including runs to local vendors for office supplies and assisting in luncheons, customer lunches, and employee gatherings. Also will aid to make travel arrangements for senior management business trips. Responsible for creating a positive atmosphere in the office area including such needs as managing coffee service, carpet cleaning. landscaping, painting, redecorating, janitorial services, etc. Perform other duties as necessary or as requested.ORGANIZATIONAL RELATIONSHIPS
Reports directly to the Senior Management Team (CEO, CFO, Production Control, and Office Manager) and works closely with all other groups as necessary to create a positive team spirit.
