Job Description
We are seeking a professional and highly organized Administrative Assistant / Office Coordinator to support daily office operations and provide administrative assistance to employees, customers, vendors, and visitors. This is a great opportunity for an experienced administrative professional who enjoys staying organized, helping others, and managing multiple responsibilities in a fast-paced office environment.
Pay:
Starting at $18.00 per hour.Schedule:
Monday-Friday, 8:00 AM-5:00 PM. Key Responsibilities Answer and direct incoming phone calls through a multi-line switchboard. Welcome visitors and coordinate customer and vendor visits. Maintain organized files, purchase orders, orders, invoices, and other office records. Make travel arrangements, including flights, hotels, and rental vehicles. Coordinate customer and employee luncheons and meetings. Schedule and maintain conference room availability. Maintain a clean, organized, and professional reception and office area. Monitor break room supplies and coordinate routine cleaning and restocking. Maintain kitchen and office cleaning schedules. Monitor inventory of office, cleaning, and printer supplies and place orders as needed. Process incoming and outgoing mail. Prepare deposits and assist with matching invoices to appropriate files. Coordinate service and maintenance for office equipment such as copiers and fax machines. Provide general administrative support, including copying, scanning, binding documents, and preparing training materials. Maintain employee contact information, telephone extensions, and emergency contact lists. Assign Return Merchandise Authorization (RMA) numbers as needed. Collect and enter timekeeping information for technical department personnel. Perform additional clerical and administrative duties as assigned. Qualifications Associate degree in Business, Office Administration, or a related field preferred; equivalent experience may be considered. 8-10 years of administrative or office experience preferred. Strong knowledge of general office procedures and office equipment. Proficiency with Microsoft Office, particularly Word and Excel. Excellent attention to detail and organizational skills. Strong verbal and written communication skills. Professional and courteous telephone manner. Ability to maintain confidentiality and professionalism. Strong multitasking and time-management skills. Dependable, proactive, and goal-oriented. Ability to work independently while supporting a team. Ability to follow directions and take initiative when appropriate.
