Operations Support Specialist

About Us:

Black Oak Insulation & Gutters is a fast-growing insulation and gutter company serving Middle Tennessee. We are looking for a dependable, organized, and hardworking Operations Support Specialist to help keep our office operations running smoothly. This role is extremely important to our day-to-day business and requires someone who can multitask, stay organized, and jump in wherever needed.

Responsibilities:

Create and organize work tickets from sales team submissions Create repair and service tickets Send invoices to customers Apply customer payments into Sage accounting software Scan and deposit checks through the bank system Answer incoming office phone calls Send insulation certification letters and completion paperwork Request Certificates of Insurance (COIs) Organize and file work tickets by week and month Assist with general office organization and cleanliness Help maintain office supplies and paperwork Support office staff with daily administrative tasks Rotate with office staff on shared office duties and cleaning responsibilities Assist management and team members with additional tasks as needed

Qualifications:

Strong organizational skills Good communication and customer service skills Ability to multitask in a fast-paced office environment Basic computer skills required Experience with Sage or accounting software preferred but not required Construction office experience is a plus Reliable attendance and strong work ethic Positive attitude and willingness to help wherever needed
