Job Description
Front Office Secretary Position Summary South Texas Dewatering LLC is seeking a dependable, organized, and professional Front Office Secretary to support our daily office operations in Alice, Texas. The ideal candidate is friendly, detail-oriented, comfortable working independently, and able to manage multiple priorities in a busy office environment. This person will serve as an important point of contact for customers, vendors, drivers, and visitors while providing administrative support to management and helping keep the office organized and running efficiently. Key Responsibilities
- Answer and direct phone calls, emails, and messages professionally
- Greet and assist customers, vendors, drivers, and visitors
- Schedule appointments, meetings, deliveries, and services
- Maintain organized electronic and paper records
- Prepare, scan, copy, file, and distribute documents
- Enter information accurately into spreadsheets and company systems
- Assist with invoices, receipts, purchase orders, and payment records
- Organize permits, manifests, inspection reports, and compliance documentation
- Track documents requiring signatures, renewals, or follow-up
- Receive and distribute mail, packages, and deliveries
- Order office supplies and maintain a clean, organized front office
- Provide general administrative support to management
- Maintain confidentiality of company, employee, and customer information Qualifications
- High school diploma or equivalent
- Previous receptionist, office, or administrative experience preferred
- Strong communication and organizational skills
- Professional, dependable, punctual, and detail-oriented
- Comfortable using email, Google Workspace, Microsoft Office, and spreadsheets
- Able to prioritize tasks and manage multiple responsibilities
- Able to work independently and follow through on assignments
- Bilingual English/Spanish preferred
