Job Description
Job Overview Austin Canyon Corporation is seeking a skilled Construction Office Administrative Assistant to provide essential clerical and operational support for our commercial general contracting firm. In addition to being the first team member to greet visitors, we're also looking for this role to help ensure office efficiency by handling duties such as answering phones and managing office supplies. Applicants will be expected to assist with construction-related tasks such as preparing, reviewing and managing Contracts and Subcontracts. The ideal candidate for this position has strong multitasking skills with the ability to prioritize tasks as they arise. Specific responsibilities and ideal expertise include, but may not be limited to the following: Manage front desk operations, greeting visitors and directing phone calls with professionalism and courtesy using multi-line phone systems. Maintain organized filing systems for project documents, contracts, permits, and correspondence. Handle data entry tasks accurately using Microsoft Office, ensuring all records are up-to-date. Support calendar management for project meetings and deadlines, ensuring timely reminders and updates. Perform general clerical duties such as photocopying, scanning and filing. Appropriate phone etiquette with experience managing multi-line phone systems in a professional setting. Exceptional organizational skills with the ability to prioritize and manage multiple tasks effectively. Knowledge of office procedures such as filing systems, proofreading documents, and calendar management. Professional verbal and written communication skills, including attention to detail. Experience with Microsoft Office Suite (Word, Excel, Outlook). Reviewing and managing AIA form Contracts and Subcontracts. Manages the administrative operations of construction projects - typing/sending Change Orders, distributing drawings/construction documents, assisting with meeting notes, etc. Assisting with the assembly of bid packages and proposals, including scope of work, project specifications, and costs. Coordinating and assembling project close-out manuals. Previous clerical or administrative experience in a construction or similar industry preferred. Bilingual abilities are not a requirement, but would be a plus to help effectively communicate with diverse teams or clients. Experience/knowledge specific to website formatting and updates would be a bonus. Personal assistant experience or familiarity with construction project workflows is advantageous.
