We are seeking a highly organized Front Office Coordinator to serve as the welcoming face and efficient administrator of our office environment. This vital role involves managing front desk operations, providing exceptional customer service, and supporting daily administrative functions to ensure smooth office workflows. The ideal candidate will possess strong communication skills, technical proficiency, and a proactive attitude to foster a positive experience for visitors, clients, and team members alike. Responsibilities Greet visitors and clients warmly, ensuring a professional and friendly first impression at all times Manage multi-line phone systems, directing calls accurately and courteously while providing excellent customer support Handle all front desk duties including answering inquiries, scheduling appointments, and maintaining visitor logs Perform data entry and maintain organized filing systems to support administrative operations Utilize patient record software systems to manage recordkeeping, referrals, correspondence, and documentation Oversee office management tasks including scheduling, calendar management, supply inventory, and personal assistant tasks Support clerical tasks such as proofreading documents, managing incoming/outgoing e-mail, fax and ensuring office procedures are followed efficiently Experience Proven office management or administrative experience in a healthcare facility environment Strong computer literacy with proficiency in electronic patient record software, data entry, and general clerical tasks Experience with multi-line phone systems and phone etiquette to handle calls/texts/emails professionally Bilingual skills are highly desirable to assist diverse client needs and enhance communication Familiarity with presenting treatment plans and estimates Management of patient treatment workflows Experience with medical insurance/healthcare billing necessary Demonstrated organizational skills with the ability to prioritize tasks effectively and manage time efficiently Previous customer service or front desk experience that showcases excellent interpersonal skills and professionalism
