Job Description:
Administrative Assistant (Commercial Real Estate Brokerage) We are partnering with a high-performing Commercial Real Estate brokerage team seeking an experienced Administrative Assistant / Broker's Assistant to support a group of top-producing brokers in a fast-paced, deal-driven environment. This role is highly analytical and production-focused, centered on data, reporting, and client deliverables-not traditional administrative assistant support. The ideal candidate is confident working with numbers, highly proficient in Excel + PowerPoint, and thrives in an environment where priorities shift quickly based on active deals.
Role Overview Role Type:
Administrative / Broker Support (Commercial Real Estate)
Team Structure:
Support for 3 primary brokers with additional team coverage as needed
Environment:
High-volume, fast-paced brokerage setting
Focus:
Data analysis, reporting, and marketing/lease deliverables Key Responsibilities Build and maintain complex Excel models and datasets related to: Lease comparisons Rental rate analysis Financial obligations and percentages Deal flow tracking and validation Create and edit brokerage deliverables, including: Proposal summaries Lease abstracts Market surveys PowerPoint presentations Conduct phone and online research with external leasing contacts nationwide Assist in preparing maps, comps, and supporting visual materials for presentations Identify inconsistencies in data and proactively resolve gaps Support multiple brokers and shift priorities based on deal urgency Provide backup coverage for administrative team members as needed Maintain momentum on time-sensitive deliverables in a high-pressure environment Required Qualifications 2-3+ years of professional office experience Advanced Excel proficiency Strong PowerPoint skills, including template editing and formatting Strong analytical mindset with demonstrated comfort working with numbers and data Ability to identify inconsistencies and problem-solve independently Strong work ethic and team-first mentality Confident communication style; willingness to ask questions, follow up, and push for clarity when needed Preferred Qualifications Commercial Real Estate (CRE) experience strongly preferred but not required Experience in research-heavy or data-driven roles Comfort making outbound calls for information gathering and validation Ideal Candidate Profile Stable professional background with solid tenure in prior roles Not seeking a highly linear or rapid upward career track at this stage Comfortable in high-demand, deadline-driven environments Highly assertive, proactive, and self-directed Strong ability to manage up and keep stakeholders accountable Team-oriented with a positive, grounded presence
Compensation Target Range:
$60,000 - $65,000 Compensation flexibility is possible for exceptional candidates with strong CRE or highly relevant experience Schedule & Work Environment Fast-paced brokerage environment with deal-driven workload fluctuations Occasional overtime based on deal flow (not consistent) Collaborative admin support structure with strong team coverage 9/80 schedule (every other Friday off) Benefits Year-end merit bonus eligibility Health insurance (company covers approximately 50%) Key Success Factors in This Role Advanced Excel capability (critical) Strong numerical reasoning and attention to detail Ability to dig into data and independently resolve issues Ownership mindset with strong follow-through Ability to perform in a fast-moving, high-accountability environment
