Job Description
The Brazos Valley Symphony Orchestra is seeking an organized, dependable, and personable Office & Patron Services Coordinator. This position provides administrative and patron services support under the direction of the Executive Director. This position is ideal for someone who enjoys helping others, communicates professionally, is comfortable learning new technology, and can adapt to changing priorities in a varied environment. The coordinator will interact regularly with staff, board members, patrons, donors, musicians, volunteers, and community partners. A friendly, helpful attitude and the ability to maintain positive working relationships are essential. Responsibilities Provide general administrative and clerical support to the Executive Director and other staff Answer phone calls and emails, take messages, and assist patrons, donors, musicians, and community partners Maintain calendars of Symphony concerts, meetings, events, deadlines, and other activities Schedule meetings and send reminders to board members, staff, and other participants Assist with preparing and distributing agendas, meeting packets, reports, and other materials for board and committee meetings Maintain accurate databases, mailing lists, donor records, ticket information, event registrations, and organizational files Assist with season ticket inquiries, donation records, special-event registrations, and complimentary ticket requests Assist with communications and mailings, including season brochures, ticket information, fundraising invitations, newsletters, and thank-you letters Prepare and update documents, spreadsheets, presentations, flyers, signs, and promotional materials using Google Docs, Google Sheets, Microsoft Excel, Canva, and related programs Assist with gathering information, preparing materials, and maintaining files for grant applications and reports Receive and organize invoices, prepare reimbursement requests, assist with deposits, and provide financial information to the appropriate staff or bookkeeper Maintain an organized and professional office, including files, supplies, work areas, meeting spaces, and storage areas Assist with volunteer and intern scheduling, communications, and event assignments Assist with concerts, receptions, fundraising events, and other Symphony activities, including patron check-in and ticketing support Follow up on assigned projects, correspondence, and action items Learn and use ticketing systems, donor databases, and other online platforms Perform other administrative duties as needed Qualifications
- Strong organizational and time-management skills
- Excellent attention to detail and ability to maintain accurate records
- Friendly, helpful, and professional demeanor
- Clear written and verbal communication skills
- Comfortable working with computers, technology, and a variety of software programs
- Proficiency with Google Docs, Google Sheets, Microsoft Excel, and Microsoft Office
- Ability to balance multiple assignments and adjust to changing priorities
- Dependable, self-motivated, and able to work both independently and collaboratively
- Ability to interact professionally with board members, patrons, donors, musicians, staff, volunteers, and the public
- Ability to handle financial and confidential information appropriately Preferred Experience Previous administrative or office experience Experience with QuickBooks and Canva Familiarity with databases, ticketing systems, or customer relationship management software Experience assisting with bookkeeping, invoices, deposits, or financial records Experience preparing board, grant, or organizational materials Experience working with a nonprofit, performing arts organization, or business that hosts events Schedule This position will generally work 30-40 hours per week during regular business hours.
