Job Description
3rd Degree Specialty Tools is hiring a full-time Administrative Assistant for our Conroe, Texas office. This position manages the front office and provides daily support across accounting and bookkeeping — accounts payable, accounts receivable, invoicing, and QuickBooks — while serving as the first point of contact for our customers, vendors, and field personnel. About 3rd Degree Specialty Tools 3rd Degree Specialty Tools is a wellhead intervention and pressure control company headquartered in Conroe, Texas. We design, manufacture, and deploy engineered tooling for work on live, pressurized wells, and we serve major and independent operators across the United States and international markets. We hold ourselves to a high standard of precision, accountability, and professionalism, in the field and in the office. The Administrative Assistant is central to that standard. The Role The Administrative Assistant runs our front office and supports the financial operations of the company. A significant part of each day involves accounting and bookkeeping: entering vendor bills, preparing customer invoices, applying payments, reconciling accounts, and maintaining accurate records in QuickBooks. The position also coordinates the field ticket process, ensuring that completed work is documented, approved, and billed correctly and on time. Beyond accounting, this position answers and directs all incoming calls, receives visitors, manages office purchasing and correspondence, and maintains the company's administrative and personnel records. The Administrative Assistant also works directly with the company's leadership team each day, supporting projects as they are assigned across operations, sales, compliance, and administration. Once trained, the position is entrusted to carry those projects independently: assess the objective, determine the approach, complete the work, and document the procedure for future use. ResponsibilitiesAccounting and bookkeeping Process accounts payable: enter vendor bills, code expenses, and prepare payment runs for approval Manage accounts receivable: prepare and issue customer invoices, apply payments, and follow up on outstanding balances Issue purchase orders and match them to invoices and receiving documents Reconcile company credit card statements and expense receipts Support the Controller through month-end close and financial reporting Field ticket coordination Track field tickets from job completion through customer approval and signature Enter and reconcile ticket data against accounting records Maintain a current status report of open and unbilled work for management Front office and administration Answer, screen, and route incoming calls with a professional telephone manner Receive customers, vendors, and visitors Manage office and shop supply purchasing and shipping and receiving documentation Prepare customer and vendor onboarding documents, W-9s, and certificates of insurance Maintain employee files, new-hire documentation, and safety and training certification records Coordinate travel and lodging for field personnel Maintain organized electronic filing and document control Leadership support and projects Work directly with the leadership team daily, providing administrative support on projects as they are assigned Prepare documents, correspondence, and reports for the President and leadership team Execute assigned projects independently following training Develop written standard operating procedures and maintain the company's procedure library QualificationsRequired High school diploma or equivalent Professional telephone and customer service skills Proficiency in Microsoft Office, including Outlook and Excel Accurate data entry and strong attention to detail Ability to manage multiple priorities and follow each to completion Discretion with confidential financial and personnel information Preferred Experience as an administrative assistant, office administrator, receptionist, or bookkeeping assistant QuickBooks experience, including accounts payable, accounts receivable, and invoicing Experience in oilfield services, construction, industrial services, or another work-order-driven industry Coursework or a degree in accounting or business administration No prior experience is required. Field personnel and customers alike should reach someone who takes responsibility for the answer. Composure. This position is on the telephone daily and follows up until the matter is closed. Accuracy. Names, figures, and dates are correct the first time. Self-direction. After training, you take an assignment, determine the method, and deliver. Availability. Our field operations run continuously, and occasional work outside standard hours is part of the role.
