RESUME REQUIRED WITH JOB APPLICATION

• Under the direct supervision of the Director and Assistant Director, the Clerk III is responsible for performing general clerical duties such as answering incoming calls to the main department number and routing them to the appropriate staff member or non-profit, filing, scanning grant documents for record keeping, checking the mail, maintaining the lobby area, assisting the general public with any inquiries, and other clerical duties as assigned by the Assistant Director or Director.

Education, Experience and Skill Requirements Ability to work well with the Public, in person and/or by phone, by writing or email. Strong computer skills including MS Office Suite. Ability to work independently and with a team. Ability to complete assigned projects in a timely manner. Uploads digital files and data. Organizes and archives records and documents. Retrieves data and files for other departments and personnel. Scans paper documents and verifies that scanned documents are clear and legible. Creates new files and provides needed information on forms and reports. Secures and protects the privacy of documents. Bilingual English/Spanish preferred (Not required). Must be discreet and able to maintain confidentiality in and out of the workplace. Very good organizational and multi-tasking abilities, with attention to detail. Clear handwriting. Ability to read and understand a wide range of materials. Ability to lift up to 35 pounds. Uses alphabetical and numerical systems to organize paper and electronic records documents. Check paperwork, digital forms, and files, updating or correcting documentation as needed. Updates filing systems and devises new filing and organizational and storage systems for data and documents as needed. Must have the ability to work in person, not remote. Primary Job Duties Continually assist the general public and non-profit organizations, both in person and on the telephone. Answer telephone calls, voicemails & emails promptly and courteously, providing accurate information and to take messages or appropriately redirect calls as required. Directing citizens to the appropriate non-profit for assistance and forwarding questions regarding assistance and grant opportunities to proper staff member. Assisting with grant file maintenance. The process of keeping files current by adding, changing, or deleting information. The process of inspecting files for the purposes of replacing worn file folders, mending torn documents, removing duplicate copies, locating possible misfiles, and ensuring proper sequence of contents. Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc.) Maintain lobby/copy room/stockroom/attic storage Maintain stakeholder and resource lists All other duties as assigned. After receiving a conditional offer of employment, applicant must pass a drug screen (1/2 cost = $20.00, responsibility of applicant) and may need a physical agility test (1/2 cost = $22.50, responsibility of applicant) before becoming an employee of Montgomery County.
