Our team is committed to delivering high-quality, reliable, and efficient services for both public and private projects. Job Summary We are seeking a dedicated and organized Bilingual Secretary (English and Spanish) to join our team and support daily administrative and operational tasks at our office. You will be responsible for answering phones, translating documents, creating invoices using Microsoft Word and QuickBooks, contacting vendors, placing material orders, sending emails, assisting management with appointments and meetings, processing 811 tickets, and more. Responsibilities Answer phone calls and manage correspondence in both English and Spanish. Translate documents and communications accurately. Create and manage invoices using Microsoft Word and QuickBooks. Contact vendors and place material orders as needed. Schedule and follow up on appointments and meetings. Process Texas 811 tickets and perform necessary follow-ups. Organize and maintain physical and digital filing systems. Manage office supplies and maintain a tidy office environment. Provide exceptional customer service by addressing inquiries and resolving issues. Support management and other team members as required. Requirements Fluency in English and Spanish, with strong verbal and written communication skills in both languages (Required). Proven experience as a Secretary or in a similar administrative role (minimum 1 year). Advanced proficiency in Microsoft Office Suite, Google Workspace, and QuickBooks (Required). Proven experience working with Texas 811. Strong organizational skills with the ability to multitask and prioritize effectively. Attention to detail and strong problem-solving skills. Ability to handle confidential information with discretion and professionalism. Familiarity with construction industry terms such as bore, tie-in, trenching, etc. Must maintain a professional appearance and demeanor at all times, representing the company appropriately. Ability to work independently and as part of a team. Ability to work well under pressure in a fast-paced environment
